Our Facilities Services Team currently has an opportunity for a Maintenance Coordinator that is ideal for an energetic, organized individual with superior customer service skills.

RESPONSIBILITIES:

- Proactively improve and maintain the Preventative Maintenance (PM) guidelines, templates, and checklists that support the system development lifecycle.
- Maintain PM-specific asset management and tracking, security access, archiving policies and best practices.
- Validate invoices and develop forecasts, accruals and variance analysis.
- Accurately identify the risks and impacts projects and preventative maintenance will have on the organization; and that the tasks and milestones are in sequential order in order to ensure effective and efficient delivery. Provide project coordination to ensure the requirements, outcomes and deliverables of the work are met within the commitments and expectations established for minor operational projects.
- Monitor and evaluate contractors to ensure specifications within the contract agreement are being met. When concerns arise, coordinate and chair vendor meetings to resolve disputes, non-compliance, etc. Monitor, inspect and document WCB contractor preventative maintenance work and follow-up to resolve deficiencies and to ensure that correct procedures are being followed.
- Schedule preventative maintenance contractors by verifying dates and times of service/inspection. Keep schedule up to date as changes occur and communicate schedule and any changes with building maintenance team. Ensure PM activities are on schedule and remain aligned with budget.
- Facilitate urgent and priority jobs through coordination of work activities with other work groups to improve building operations efficiency and maximize budgeted resources.
- Responsible for the food and beverage supply in the cafeterias and act as the first point of contact for staff through the coffee and micro market Facilities Service Request work order system.

QUALIFICATIONS:

- Certificate in property or facility management (RPA, FMA, CPM).
- Minimum of five years of experience in construction or building operations.
- Two years of experience scheduling building operation tasks.
- Sound knowledge of OHS programs and the ability to monitor and enforce polices.
- Demonstrated ability to plan, coordinate and schedule preventative maintenance activities, manage competing demands, establish priorities, manage budgets and meet deadlines.
- Fluent with MS Office, BMCS (Building Management Control System), CMMS (Computerized Maintenance Management System) and/or CAFM (Computer Aided Facility Management) systems.
- Proven ability to work effectively and efficiently with contractors by building and maintaining positive working relationships.
- Minimum of three years working with operational budgets.
- Excellent interpersonal skills and the ability to function within a team setting.
- Must be able to work efficiently and effectively. The ability to prioritize and complete tasks within set timeframes is crucial to success.
