**What we are looking for**
With a commitment to excellence and customer satisfaction, the Bilingual Order Entry, Sales Support Clerk will play a crucial role in supporting our Customer Service Manager, Sales team, and Operations team to ensure seamless order processing and exceptional service.
**Responsibilities**
- **Order Processing**: Accurately and efficiently enter incoming orders from customers into GoodLeaf’s order management system. Review order details, quantities, pricing, and delivery instructions to ensure accuracy.
- **Customer Support**: Provide excellent bilingual customer service to clients, addressing inquiries, order status updates, and resolving any order-related issues promptly and professionally.
- **Communication**: Act as a liaison between customers and internal teams, including Sales and Operations, to relay essential information, order modifications, and delivery updates effectively.
- **Order Monitoring**: Monitor order progress, tracking shipments, and verifying on-time deliveries. Proactively communicate any potential delays or issues to customers and internal stakeholders.
- **Inventory Management**: Collaborate with the Operations team to ensure accurate inventory levels and product availability. Advise the Sales team and customers on stock status and potential substitutions if necessary.
- **Documentation**: Maintain meticulous records of all customer interactions, orders, and related communications in compliance with company policies.
- **Problem Solving**: Identify and resolve order discrepancies or issues related to pricing, product availability, or shipment errors in a timely manner.
- **Process Improvement**: Continuously seek opportunities to optimize order entry processes, enhance customer satisfaction, and contribute to the overall efficiency of the Customer Service team.
- **Bilingual Support**: Assist in translating and interpreting documents, communication, or inquiries as needed for both English and French-speaking clients and internal stakeholders.
- **Team Collaboration**: Work closely with the Customer Service Manager, Sales team, and Operations team to foster a collaborative and cohesive work environment.
**Qualifications & Educational Requirements**
- **Bilingual Proficiency**: Fluent in both English and French (spoken and written) to effectively communicate with customers and internal teams.
- **Organizational Skills**: Strong attention to detail and ability to manage multiple tasks simultaneously while meeting tight deadlines.
- **Customer-Focused**: Demonstrated commitment to providing exceptional customer service and maintaining positive relationships with clients and internal stakeholders.
- **Adaptability**: Ability to thrive in a fast-paced, ever-changing environment and adapt quickly to new processes or technologies.
- **Communication Skills**: Excellent verbal and written communication skills in both English and French, with the ability to convey information clearly and professionally.
- **Problem-Solving**: Proven analytical and critical thinking skills to address and resolve customer issues effectively.
- **Team Player**: A collaborative mindset with a willingness to assist team members and support departmental goals.
- **Experience**: Prior experience in order entry, customer service, or a related role in the food manufacturing industry is an advantage.
