**Coordinator Clinic Affairs**:
**Primary Purpose**: Coordinator, Clinic Affairs is responsible to assist with the oversight of all aspect of the patient care or clinic care services offered within College of Dentistry, Dental Clinic and Pre-clinic, provide operational support, primarily to the Director, Clinical Affairs and Assistant Dean of Clinics but also to faculty and staff in the areas of clinical management.

**Nature of Work**: As a part of teaching and research, the College of Dentistry has a strong commitment to patient care and clinical experience for its students.

Reporting to the Director of Clinics, the Coordinator works with dental students, faculty, staff to support the teaching, research, and patient care functions from a coordination, administration and technical perspective. The position provides excellent, culturally responsive service to all and must have a good overall understanding of Clinic, pre-clinic and College policies and processes to appropriately meet the needs of the patients and students.

The responsibilities for this position include financial, human resource, operational and technical coordination, at the discretion and direction of the Director. The Coordinator works to ensure that the College’s Dental Clinic operations are run in an efficient and effective manner, requiring exceptional organizational skills and attention to detail. The work requires an ability to successfully balance competing deadlines and multiple tasks. The Coordinator is a change agent who continually seeks process improvement.

Clinics include 84 operatory general purpose Education Treatment Clinic, a 6 unit Fellowship Specialty Clinic, a 5 unit Oral Surgery Unit, and a Radiology Unit, among other educational programs which we support.

**Duties/Responsibilities**:

- Assist with the development and implementation of efficient processes and operational workflow that foster excellent patient and student experiences.
- Work with Course Coordinators, faculty, clinic and academic staff to support teaching, research and patient care.
- Utilize Microsoft Office Suite tools to communicate, and create reports.
- Collaboratively draft policies, procedures, and guidelines following the direction of the Director.
- Work directly with Health Sciences and campus facilities and maintenance units to address physical asset and building functional problems as well as ongoing facilities needs related to the clinics.
- Assist the Director in developing, assessing, and acting on quality assurance measures related to clinic operations.
- Assist with Accreditation expectations and help ensure that clinics and staff are prepared for accreditation site visits.
- Participate in writing and provide documentation for accreditation site visits.
- Participate on College of Dentistry committees to contribute to various aspects of clinic operations and continuous improvement initiatives.
- Assist in implementation of processes and procedures that promote efficient, effective, and responsible stewardship of resources.
- Demonstrate familiarity with department budgets and assist where required in budget documentation and spreadsheets.
- Participate in coordinating inventory management systems that facilitate efficient clinic operations and fiscal responsibility.
- Review and update the Clinic Policy & Procedures Manual annually at the direction of the director, to ensure they incorporate accurate and current information.
- Review and update the College of Dentistry Safety Manual annually, a the discretion of the director, to ensure they incorporate accurate and current information
- Coordinate and update all tracking systems, including staff training, schedules, etc.
- Monitor patient satisfaction surveys and use data to suggest improvements to clinic operations and the patient experience.
- Generate clinical activity reports and make recommendations for improvements (staff, inventory, intake processes, etc.)
- Identify ways to maximize the use of data in support of key activities and present alternatives to management and administration.
- Design and maintain a catalog of standard operating policies and procedures that will aid in aligning each clinical program.
- Perform other duties as assigned.

**Qualifications**
**Education**: A Bachelor of Commerce Degree or BA In Health Care or Public Administration or an Applicable Bachelor Degree in Clinical Management.

**Experience**: Minimum of three years of relevant experience coordinating within a progressive clinic operation. Experience in the dental field would be an asset.

**Skills**: A demonstrated ability for coordination and organization of an fast paced workplace. An excellent grasp of computer software systems; experience with dental software (e.g., axiUm, Cleardent, Dentrix, etc.) is an asset_._
