- YesThe Vice President of Clinical Services and Chief Operating Officer is currently seeking an Executive Assistant. The purpose of the position is to provide confidential administrative and executive level support to the Divisional Vice President and their respective portfolio.

**Please Note: This position offers a hybrid work environment consisting of in-office and remote work. Office location is 500 Church St in Penetanguishene, ON.**

**Key Accountabilities**:

- Prepare, distribute and maintain confidential information related to clinical, corporate and hospital operations.
- Organize the activities and schedule of the Vice President using independent judgement, discretion and tact to balance often competing demands on time. Assess urgency and nature of appointments; coordinate/attach pertinent information;
- Participate in the budget process by gathering data; perform data entry; facilitate invoicing, monitoring and identification of variances within respective budgets; prepare and process travel/expense claims. Order supplies and equipment, arrange conference attendance, tuition, accommodation, travel arrangements etc. for VP; maintenance of office supply inventory.
- Take and process minutes of meetings and hospital assigned committees/meetings; compose, type and distribute agendas, coordinate meeting information and logistics;
- Coordinate calendar of VP using own judgment to schedule appointments;
- Participate in and/or provide leadership of projects or work groups/committees/conferences as directed by, or approved by the VP
- Performs all work at all times in compliance with all hospital policies and procedures and legislation (Occupational Health &Safety Act, Fire Code, WHMIS, etc.) relevant to health and safety, security (including relational/therapeutic security) and potential risk hazards, and in particular, “duties of the worker” as defined in Section 28 of the OH &S Act;

**Requirements/Qualifications**:

- Post-secondary education in a relevant discipline from a recognized academic institution or equivalent experience
- Three to five years experience in an Executive Assistant role or equivalent Administrative support role.
- Current knowledge of and experience with Microsoft Word, Excel, PowerPoint and SharePoint
- Demonstrated experience in budgetary practices and process with strong analytical skills
- Proven advanced communication, organizational, customer service & interpersonal skills
- Proven ability to take and process minutes of assigned committees/meetings and associated responsibilities
- Results oriented work ethic to work independently and undertake tasks needed to accomplish work objectives and deliver quality, consistent and timely results
- Demonstrated leadership, conflict resolution, interpersonal and organizational skills
- Proven written and verbal communication skills
- Proven ability to adapt readily to change
- Models and promotes core ethical practice, Waypoint Values, and reflects an optimistic and positive attitude
- Preference for proficiency in French/English language skills
- Knowledge of the Mental Health Act and Part XX.1 of the Criminal Code of Canada would be an asset
