Job Title: Legal Receptionist
We are a well-established, highly reputable Notary office located in Maple Ridge, BC.
We are currently seeking a full-time legal receptionist/administrative assistant with ideally 2 years of experience to join our team. This position carries with it the opportunity to perform high-quality work in a dynamic environment and to grow alongside us as our business continues to expand.
- High level of proficiency in Microsoft Word, Excel, Outlook, and Adobe Acrobat
- Excellent written and verbal communication skills
- Exceptional word processing and proofreading abilities
- Ability to prioritize and multitask
- Strong attention to detail, organizational skills
- Punctual and reliable
- Capability to work independently with mínimal direction in a team-based environment
Responsibilities for the position include, but are not limited to:
- Greet clients and visitors and direct them to the appropriate person or office
- Answer, screen, and forward incoming phone calls
- Schedule appointments and maintain calendars
- Handling incoming and outgoing mail, faxes, couriers,
- Communicating with clients and scheduling appointments
- Information gathering for conveyancing transactions
- Opening and closing client files and maintaining a current filing system, which includes Scanning, Discharges, Final Reporting, State of Title Certificates, Release of Holdbacks, Mortgage Payouts, etc.
- Knowledge of preparing Transfers, Transmissions & Covenants would be a strong asset;
- Bank Runs: Depositing funds to local banks & local legal offices in the Maple Ridge area (all banks are within a 2km radius)
- Maintaining office supplies
- Cleaning and sanitizing the office between clients to maintain a safe & COVID free environment
- Experience with LTSA, BC Online, and Pro-Suite would be a strong asset
Working Hours: Monday - Thursday from 9am to 5pm and Fridays from 9am to 4pm
**Salary**: Commensurate upon experience
**Duties**:
- Greet clients and visitors and direct them to the appropriate person or office
- Answer, screen, and forward incoming phone calls
- Receive, sort, and distribute daily mail/deliveries
- Order office supplies and keep inventory of stock
- Schedule appointments and maintain calendars
- Perform other clerical receptionist duties such as filing, photocopying, collating, faxing etc.
- Assist with project coordination as needed
**Skills**:
- Proven work experience as a receptionist or similar role
- Proficiency in Microsoft Office Suite and Google Suite
- Hands-on experience with office equipment (e.g. fax machines and printers)
- Professional attitude and appearance
- Solid written and verbal communication skills
- Ability to be resourceful and proactive when issues arise
- Excellent organizational skills
- Multitasking and time-management skills, with the ability to prioritize tasks
**Requirements**:
- High school diploma; additional certification in Office Management is a plus
- Experience working in a dental office or as a medical receptionist is preferred but not required.
- Must be able to proofread documents accurately.
- Must have customer support experience.
