We are currently seeking an individual to join our Finance and Service Department as an Administrative Support Specialist in the Innerkip, ON Head Office.

Reporting to directly to the Financial Controller with a dotted line to our Greatario Services Manager, the Administrative Support Specialist will work closely with the Finance and Services team to ensure operations run smoothly.

**Responsibilities include, but not limited to**:
Responsible for completing all shipping & customs documentation for the business, including coordinating pickup and deliver of materials.
Direct liaison with custom agent
Prepare courier shipments for staff
Manage project insurance program, including uploading certificates for projects and tenders
Responsible for the Builders Risk forms
Acts as the backup for expense and payroll processing
Assists with coordination of Company visa transaction verification, i.e., matching/tracking receipts for charges
Responsibility of full Accounts Payable cycle for one business unit.
Contact/Liaison for office equipment i.e., postage machine, printers etc.
Reception backup daily
Assist the Management team i.e., coordinating schedules, booking meetings, travel etc.
Assist with booking travel & accommodations for all divisions
Set up Work orders in our system specifically for our Service division
Invoicing Service clients
Assist with Inventory management
Create & distribute purchase orders to suppliers
Document customer interactions in Salesforce
Review & edit service inspection reports
Maintain service report data
Assist with large volume customer contact during off-season

**Skills & Qualifications**:
Certificate or Diploma in General Business, Accounting or related field of study.
2+ of experience with an emphasis on accounting and/or general administrative duties.
Proactive and oriented to make improvements in procedures.
Strong organizational skills including, managing and prioritizing multiple projects.
Strong computer skills - word processing and spreadsheet. Proficient in Microsoft office (Excel, Word, Outlook)
Excellent communication and interpersonal skills. Ability to interact with employee teams at all levels.
Ability to maintain appropriate levels of confidentiality and deal with sensitive information
Proven ability to meet deadlines
Prior experience with Jonas software considered an asset.
