As a Term Office Administrator, you will take on a variety of tasks to coordinate the development of proposals and quotations. You will work closely with Project Managers and the Business Development Team to assist them with coordinating administrative tasks.

**General Office & Administrative Duties**:

- Assist Senior Leadership, Project Managers, Operations, and the Business Development team with administrative tasks.
- Monitor the maintenance of the office areas, boardroom, and lunchroom to ensure cleanliness.
- Maintenance of all administrative documentation, templates, etc.

**Proposals, Quotes and Reports**:

- Coordinate development of quotations and obtain approval before submission.
- Monitor quote status and support internal quote reporting requests.
- Edit, and proof for proper spelling, grammar, and formatting for quotes.
- Collect company information required for quotes and proposals.
- Assist Quoting Team with miscellaneous time-sensitive items.
- Assist with uploading of quotes to various customer quotation programs, i.e., Merx, Ariba.
- Edit reports, and proof for proper spelling, grammar, and formatting.

**Business Development**:

- Customer pre-qualification packages for BD opportunities
- Work with BD team on customer appreciation events and gifts.
- Assist with and compile business development packages and functions.
- Assist as needed internal and external trade shows and events.
- Assist with maintenance, research, planning and buying of BD promotional items
- Maintain internal and external Dynamo documents.

**Qualifications**:

- Post Secondary education in Business Administration, or relatable field.
- Minimum 1 year experience in an administrative or coordinator role conducting key functions, preferably in an Electrical Service, Field Services, or Engineering office environment.
- Experience working with quotation submittal software such as Merx and Ariba would be an asset.
- Demonstrates strong organizational skills, tracking, and monitoring work processes for a project team and ability to plan and execute work efficiently and under tight time constraints.
- Demonstrates effective time management skills with the ability to multi-task and handle considerable volume under tight deadlines.
- Demonstrates strong formatting, grammar, and keyboarding skills in Microsoft Word.
- Must be proficient in use of Microsoft Office 365 - particularly MS Word, Outlook, and Excel.
- Ability to maintain high level of accuracy and confidentiality concerning financial, human resource and client files.
