**_ Position Overview:_**

Reporting to the General Manager, the Property Administrator works very closely with all operational staff in providing support for the residential buildings. The incumbent is accountable for the management of the property portfolio assigned and must ensure that corporate policies and procedures are adhered to in always delivering quality service.

**_Requirements for success:_**
- College diploma in business administration or related field
- Minimum of 3 years’ experience in office administration or property management
- Strong communication and written skills in English
- Ability to present information in a clear and concise manner
- General knowledge of computer software systems, including Yardi and Microsoft Office Suite (Outlook, Word, Excel)
- Ability to work independently and in a team environment
- Displays a positive work attitude and enthusiasm
- Good organizational skills with ability to multi-task
- Ability to follow practices and procedures and recommend improvements to these
- Good analytical skills, problem-solving skills and decision-making ability
- Excellent customer service skills

**_Your new role and responsibilities:_**

As a proactive individual, maintains a positive attitude and provides operational support. Specifically:

- Completing applicable tasks on Employee checklist for all new hires and terminations
- Schedule and oversee staff training sessions.
- Ensure team members are well-informed about property policies and procedures.
- Safety and Health Committee:

- Participate as a member of the safety and health committee.
- Promote a safe and healthy living environment for residents.
- Provide support and assistance to residents regarding RentCafe and online services.
- Assist with insurance account settings for residents.
- Dealing with tenant related issues in accordance with the Act
- Manage resident insurance accounts.
- Issue eviction notices and other legal notices as required.
- Maintain accurate records of eviction-related actions
- Maintaining and establishing professional relationships with external contacts such as, but not limited to, training facilitators, contractors, and service providers
- Reviewing various requests and providing background material for response
- Preparing and reviewing service contracts and purchase orders
- Reviewing invoices prior to approval of expenses
- Providing operational updates with respect to property issues
- Preparing monthly and quarterly tasks and
- Providing support to management on assigned projects
- Ensuring all systems are maintained (i.e., Yardi)
- Assisting in budget preparation by researching costs for supplies and services and obtaining bids as directed
- Assist with scheduling of site staff on a weekly basis
- Assist in entering, maintaining, and auditing resident records in the Yardi database, including lease information, rent collection, rent renewal and resident notices
- Organize and monitor filing systems including paper filing, electronic filing and archiving
- Collect and process rental payments
- Handle incoming phone calls, inquiries, and leasing appointment scheduling
- Provide leasing support, as requested (during busy periods or when they are on holidays/sick)
- Collaborate on special property projects and marketing initiatives
- Track pest control, schedule treatments and inspections, prepare notices, and resident preparation instructions
- Handle all inquiries, feedback, complaints, or concerns professionally and courteously
- Assist with IT-related tasks, including setting up new devices and troubleshooting
- Ensure technology systems are operating efficiently
- If building manager absent Post late fees, receive and process rent checks, and reconcile batches and deposit cheques to the bank
