**Position**:Staffing Coordinator

**Reports to**:Human Resources Manager

**THE POSITION**

We have an opportunity for an organized and dedicated full-time employee to join the team as the Staffing Coordinator. The goal of the Staffing Coordinator is to ensure optimal staffing levels by increasing the efficiency of the people on-site to promote excellent care and support for our patients. This role has the autonomy to reappropriate staff in the hospital, including making changes to the schedule during shifts to better support hospital operations and is expected to be on-call to manage scheduling related tasks. This role includes a combination of routine day to day tasks, and managing changing calendars, priorities, and timelines. You will require excellent organization, precision, focus, and communication skills and work under a high level of integrity, discretion, and confidentiality to succeed.

**DUTIES & RESPONSIBILITIES**:

- Create the monthly schedule for service staff
- Ensure monthly schedules are published a minimum of 6-8 weeks in advance
- Manage time off requests, approve vacations, and respond to coverage needs, such as sick calls
- Communicate effectively with doctors, locums and service staff for coverage needs
- Use critical thinking and problem-solving skills to identify staffing concerns, devise a plan of action to solve issues, and communicate plans to the leadership team
- Maintaining a presence on the hospital floor, check in regularly with the services
- Collaborate with the leadership team to review suggestions and present solutions related to schedule changes that increase the efficiency of resources
- Participate actively in making recommendations to optimize strategic hospital operations and that resources are being used effectively and re-appropriated in shortages
- Ensure staffing levels and staff skill levels meet the minimum hospital needs. (e.g. Ensure there is anesthesia coverage for all shifts)
- Training new employees in the scheduling software, maintaining an open line of communication through setting up regular meetings with staff
- Listen and remain open to feedback, alternative suggestions, and the needs of staff

**KNOWLEDGE, SKILLS, AND ABILITIES**:

- Organized, accurate, focused and detail orientated.
- Strong critical thinking and problem-solving abilities
- Willingness to be available after hours to support staffing needs
- Understand or be willing to understand the needs and the optimization of the business
- Great verbal and written communication skills
- High-level of professionalism and business acumen
- Ability to maintain fair and just practices when arranging coverage and assigning shifts
- Have clear vision of ideal staffing levels and the ability to communicate and discuss this vision with the leadership team
- Integrity, discretion, and the ability to uphold confidentiality

**WORK HOURS**:

- Monday to Friday
- 8:00 am to 4:30 pm (with flexibility on working hours due to necessary meetings and scheduling needs, including evenings and weekends)
- Flexibility of work from home days available after the completion of the training period

**EDUCATIONAL REQUIREMENTS**:

- Grade 12, plus minimum two years’ recent related experience with coordinating, preparing, and adjusting schedules or an equivalent combination
