As **Project Support (Project Administrator)** you will be a dedicated professional who is committed to building our clients’ trust through clarity, transparency, and integrity. You will be a fair, fun, and firm team player. The main and most important function of this position is providing project-specific clerical support to our project managers to achieve our goal of providing our clients the best Construction Management services possible.

**The key job responsibilities of the Project Administrator are the following that **includes but not limited to**:

- Assist with updating the template front-end tender documents to make project specific as directed by the Project Team.
- Assist with the tender packages including distribution of the tender documents and addenda to trades during the tender process as directed by the Project Team.
- Set up project-specific trade accounts.
- Assist with the data entry of the submittal schedule as directed by the Project Team.
- Produce the sites’ office in a box, create template timesheet, create template PO Register.
- Prepare, monitor, and track trade contracts, statutory declarations, WCB clearance letters, and tender packages including drawings, specifications, and addenda.
- Order paper copies of project drawings and specifications.
- Update specifications and drawings with addenda and share updated documents with the Project Team.
- Upkeep the site PO Register entry into Tracker including back up documentation.
- Issue RFI’s as directed by Project Team.
- Daily input trade progress draws, supplier invoices, and ensure associated documentation are accurate.
- Finalize Trade Current Payment Listing and compile documents.
- Release monthly payments via cheque or electronically.
- Issue Office Purchase Orders, Contemplated Change Notices, Change Directives & Change Orders and distribute as directed by the Project Team.
- Issue submittals to consultants for review and to trades when reviewed as directed by the Project Manager.
- Communicate site instructions with all required trades and suppliers as directed by the Project Team.
- Update drawings with issued site instructions and change orders in a timely manner as directed by the Project Team.
- Prepare and maintain all office hard copy files and electronic documents.
- Collect maintenance manual documentation and prepare Architectural Maintenance Manual package.
- Assist with project closeout and warranty administration as directed.

**Other functions**
- Other functions as required (whatever it takes)

**Qualifications**
- At least a year of prior experience in a similar position preferably in the construction industry.
- Exemplary communication skills with strong analytic, mathematic, and problem-solving skills.
- Ability to work efficiently with a service-oriented attitude, courtesy, tact, and diplomacy.
- Ability to effectively manage time, responsibilities, and priorities.
- Committed to maintaining mutually respectful relationships.
- Post-secondary education in a business or accounting background an asset.
