The RBC Dominion Securities branch located in Kelowna is seeking a Client Experience Associate to deliver concierge level service for a successful Chairman Council Advisory team and their valued clients.
This role will require you to be well-organized, resourceful, proactive, have great time management skills, and be able to act independently to resolve complex issues. In addition, you will contribute to the efficiency of our business by providing personalized and timely support to your Chairman Council Advisor and our high value clients by offering back up administrative support to the team.
**Executive Assistant Duties**:
- Responsibilities include managing your Advisor’s calendar, keeping a line of sight of the team’s calendar to prepare meeting rooms for the flow of in-person client meetings,
- Act as an office administrator by keeping up with office supply needs - i.e. order of cookies, coffee, portfolio covers etc.
- Book ad hoc meetings, ordering impromptu surprise and delight gifts (i.e. Anniversary flowers/gifts, client birthday, thank you, and sympathy cards etc.),
- Oversee client events with support of Advisor and the team’s Marketing Assistant
- Seasonal planning - oversee collection of team photos, team messaging, ordering and distribution of client Christmas letter etc.
**Client Experience Assistant Duties**:
- Enhance the client experience from onboarding to year-round contact so that it is consistently smooth and on-track with the team’s client service plan.
- Coordinate and prepare meetings for Advisors with their clients/prospects.
- Provide proactive client service with a focus on problem resolution and attention to details. Liaise with various departments for execution, where necessary.
- Respond to client inquiries (account transactions, requests for tax receipts, account reporting, etc.).
- Help manage incoming communications from clients, Advisors and other internal and external partners.
- Maintain existing client accounts and identify opportunities to contact clients: manage timelines and key dates for accounts
- Ensure accurate and timely updates of all necessary documentation in compliance with internal controls and industry regulatory requirements. Maintain complete and up-to-date client files within appropriate systems.
- Help update team’s communication channels: websites, LinkedIn, Facebook, brochures, newsletters.
- Support Advisor team and client through the Wealth Management process and maintain audit of Wealth Management Activities and priorities.
**What do you need to succeed?**:
**Must-have**:
- Minimum of 2 years of relevant experience as an Executive Assistant or Event Planner in banking, financial services, or wealth management.
- Strong Microsoft Office Suite skills
- Demonstrated skills in providing world-class client service that will come across as professional, warm, and friendly to our clients
- Exceptional verbal and written communication skills
**Nice-to-have**:
- Knowledge of RBC Dominion Securities’ systems and procedures, an asset

This position may be eligible to receive a discretionary/variable incentive payment.
