- Boss Lubricants_ is a major wholesaler and distributer of premium industrial and commercial lubricant products, supplying them throughout Central and Western Canada. With our continued growth strategy and our goal to maintain and grow our reputation Central Canada, we are looking for an energetic, self-motivated Office Administrator who has courteous customer service skills, portrays a professional image and a first smile for all incoming visitors to BOSS.

**RESPONSIBILITY**
**Administration**
- Act as the focal point and ambassador for _BOSS_ for all walk-in and phone-in customers.
- Build customer relations by providing them with appropriate product and sales information or referring them to an IAR (Industrial Account Representative) as appropriate.
- Page warehouse service personnel to assist customers with product delivery.
- Respond to customer inquiries in regard to outstanding deliveries, based on established delivery schedules.
- Enter order requests and bills of lading efficiently and accurately into computer system and produce copies as required.
- Manage and update Chempax with customer information for account profiles, price lists and client data.
- Support company policies and procedures.
- Sort and distribute incoming personal and confidential mail into personalized mailboxes.
- Other duties as required.
**Invoicing and Deposits**
- Date stamp and alphabetize all incoming cheques.
- Prepare bank deposits and cash receipt deposits.
- Scan cheques and transfer cheque information into the daily spreadsheet.
- Process payments using Moneris.
- Daily invoicing.
- Assist with accounts receivables under the guidance of the accounting team.
**Internal clients**
- Liaise with the warehouse staff when confirming any delivery service.
- Assist with managing client expectations regarding deliveries (following up regarding delays, etc.).
- Assist with fostering and improving communication between our internal and external clients.
- Liaise with both the internal office and management teams as well as the Sales team.
**Sales support**
- Processing routine orders.
- Be an integral part of the sales team in order to collaborate and discuss sales trends, target markets, successes, client information, etc.
- Assist in identifying quality control issues and discrepancies and identifying ways in which to resolve these as well as improve current processes.
- Assist with local pickups and deliveries specific to internal operations.
- Abide by and support company initiatives, policies and procedures and adherence to safety practices within the workplace.
**Marketing research & product information**
- Research and increase knowledge through continuous learning about our products.
- Maintain an inventory of product information easily available to our clients (specifically brochures, pamphlets, spec. Sheets, etc.).
**QUALIFICATIONS/REQUIREMENTS**
**Education**
- Minimum - Completion of High School
**Knowledge**
- Basic knowledge of oil/lube industry is an asset
**Experience**
- Experience developing customer relationships
- Experience researching potential customer leads and new market segments
**Abilities**
- Ability to multi-task and re-shift priorities efficiently as needed
- Ability to work in a fast-paced environment
- Ability to work with mínimal supervision
- Ability to research client information, yet maintain client confidentiality

**Job Types**: Full-time, Permanent
**Salary**: $40,000.00-$45,000.00 per year
