The Knowledge Translation Program (KTP) at the Li Ka Shing Knowledge Institute of St. Michael's Hospital is currently looking for Research Assistant I to join our dynamic and collegial team. Currently, we are seeking an individual to take on a full time (1.0 FTE) 12-month contract to support administrative research functions for the KTP’s Team for Implementation, Evaluation and Sustainability (TIES) and Central Administrative Team. This position will support with all phases of research in strict compliance with the protocols, laws, regulations, policies, guidelines, and procedures.

**Duties & Responsibilities**
- Provide administrative support to multiple busy, complex research teams by scheduling and organizing meetings, filing, photocopying, and general office duties
- Arranges catering, audio visual and other equipment/material (e.g., flip chart, etc.), ensuring equipment is set up in a timely manner for meetings and follows up with parties to ensure meeting runs smoothly
- Follows up on the implementation of meeting decisions, as requested
- Manages, organizes and maintains the calendar/schedule for program teams (e.g., TIES, WH) meetings, Research Managers & Scientist
- Schedules and confirms meetings/appointments; updates calendar with meeting/appointments information, in a timely manner
- Exercises judgement to reschedule appointments, as required bases on the program teams changing priorities, notifying parties of changes, in a timely manner
- Assist with expense tracking and physical inventory ordering
- Develop and maintain credible relationships with research staff, participants, internal stakeholders (e.g., Research Contracts Department, Central Administrative Team), and external stakeholders/partners
- Provide cross-team updates to research staff, stakeholders, and partners, and arrange follow-up, as required
- Support the development and refinement of accurate and efficient cross-team Standard Operating Procedures and practices (e.g., cross-project online filing systems, organizing office space)
- Prepare forms (e.g., reimbursement forms, employment contract submission forms, transcription requests) for multiple research projects
- Schedule interviews, focus groups, and KT tool usability testing sessions for multiple research projects
- Collect and assist in the processing and compilation, verification, maintenance, and archiving of research data, ensuring quality control
- Develop TIES dissemination and communication strategies with stakeholders, such as newsletters
- Conduct literature searches, assisting with report and presentation writing
- Prepare and support the analysis of TIES and WH surveys
- Follow hospital, ethics, privacy regulations and KTP’s policies and procedures
- Work with TIES and KT Program colleagues to create a collegial work environment
- Ability to work from home to comply with COVID-19 measures (e.g., access to phone, internet, etc.), as required

**Qualifications**
- Basic computer skills, particularly database, spreadsheet and word processing
- Bachelor’s degree in Science, Public Health Sciences, Social Sciences (e.g., psychology), Bioethics, Clinical Sciences (e.g., social work), Business, Health Administration, or a related field is an asset, or demonstrable equivalent combination of specialized education and experience preferred
- Minimum of one-year experience in providing administrative support, preferably in a research environment
- Basic computer skills, particularly database, spreadsheet and word processing is required.
- Excellent attention to detail and proven ability to learn new skills
- Excellent organizational skills and the ability to manage multiple tasks in a timely manner
- Ability to prioritize and manage multiple large projects simultaneously
- Demonstrated ability to work both independently and as part of a team
- Exceptional organizational skills to manage competing priorities
- Flexibility to adapt to changing project needs
- Excellent verbal, written, and interpersonal skills
- Ability to work in and contribute to a diverse, collegial team environment
- Proficient in document management, in both electronic and hard copy forms
- Ability to handle private and sensitive information (e.g., employment contract filing) is required
- Ability to use good judgement in assessing difficult situations required
- Able to follow written and verbal directions
- Experience in supporting Human Resources activities is an asset
- Experience in a healthcare related setting is an asset
