Academy Receptionist and Administrative Associate hosts guests at the DS Academy in Mississauga, assist on the execution of events and support Academy Supervisor in building management activities, as well as provides general administrative assistance. Ensures customers feel welcome and assist him/her during their stay at the Academy. Completes administrative activities related to employee attendance, and VP/GM assistance.
**Key Responsibilities**:
ACADEMY RECEPTION SUPPORT
- Maintains a professional-level meetings commitment, including a flexible schedule that comprises of evenings, weekends and holidays hours as needed for proper training programs/events preparation and execution.
- Document weekly activities and provide status reports of programs and trainings as well as current and future obligations to Academy Supervisor
- Helps fellow team members and other departments wherever necessary to maintain positive working relationships.
- Welcome guests in a warm and friendly manner and guide them to their programs.
- Monitors Academy activity to help customers accordingly their needs.
- Responds to guest inquiries and requests in a timely, friendly, and efficient manner.
- Manage the reception area for the registration process and assist in the check-in process (e.g. on arrival check in, parking, coat check)
- Performs opening and closing duties, as needed.
- Create name tags and name badges, pulling lists from CVent
- Responsible for TV layout update.
- Helps setting up the room before and after each event (e.g. room layout, materials, snacks, water, KOL box)
- Replenish the Bistro area, Reception, and internal Kitchen: fridge, coffee stations, cutlery, snacks.
- Maintain shared areas clean and organized.
- Answering phones and scheduling hotel reservations for customers.
- Responsible for booking showroom and boardroom A and B on Skedda and Outlook
- Assist with Facility Management activities (e.g. providing paper tissues to employees, collecting concerns to take to the Academy Supervisor on a organized fashion, communication with landlord).
- Keep storage rooms organized.
- Other duties as may be assigned or needed.
ADMINISTRATIVE RESPONSIBILITIES:
- Maintenance of Employee Attendance Tracking and Reporting.
- Attendance reporting for payroll processing.
- General administrative assistance with employee events and GM add hoc requirements, i.e. Coordinating meeting times/agenda with external stakeholders.
- Coordinate internal meetings and off-site DS events planned by CLT, including sourcing locations, room set up, arranging for meals, and accommodations booking, as required.
- Other duties as may be assigned or needed.
**Education**:
- College diploma or equivalent
**Years and Type of Experience**:
- Minimum of 2 years of hospitality experience
**Key Required Skills, Knowledge and Capabilities**:
- Must possess excellent interpersonal and communication skills (written and verbal).
- Proven organizational skills with the ability to prioritize and manage multiple tasks
- Proficiency with programs such as Microsoft Word, Outlook, Excel, PowerPoint and SharePoint
- Ability to work in a high energy, learning environment where resiliency and timely turnaround of quality work is essential
- Proven ability to identify and execute process improvement initiatives.
- Proven ability to exercise sound independent judgment
- Have positive attitude and a good manner to serve the customers
- Ability to meet and work with multiple personalities and maintain a pleasant image is required.
- Weekends and evenings required as determined by the Academy calendar.
