The Advancement Services Officer is a key member of the Advancement team and is integral in the areas of database management, gift processing, e-communications, prospect research, donor lists and reports, and support for Advancement events and other programs.

Position Type: Full-time, ongoing

Location: 99 Cartwright Avenue, Toronto

Salary Range: $66,000 - $72,000

Other compensation includes an extended health and dental plan and Group RRSP contributions.

**KEY RESPONSIBILITIES**

**Gift and Pledge Administration**:

- Responsible for timely and accurate processing of all charitable gifts to the school and Foundation, including acknowledgments and tax receipts, ensuring compliance with SHS policies and Canada Revenue Agency guidelines
- Responsible for tracking all pledge commitments, including the timely distribution of pledge reminders, and coordinating pledge fulfillment with follow-up with donors as needed
- Working closely and collaboratively with Finance on gift processing, batch deposits, monthly/yearly reconciliations, receipt reports and managing annual audit requests
- Ensuring a high level of customer service in all interactions with internal and external community members, including donors, alumni, and volunteers

**Database, Administration, and Communication**:

- Oversee the integrity, performance, and quality of data and our database system
- Manage school-wide e-blast communications by creating and formatting e-blasts, creating forms, pulling distribution lists, and sending them out in a timely manner
- Coordinate compliance with privacy standards to support ethical and successful fundraising practices and conventions for data and database use
- Manage integration with other related systems including web-based transaction systems and third-party reporting tools

**Prospect Research and Management**:

- Work with the team to determine requirements for prospect and pipeline analysis and management, gift analysis and event management, and produce user-friendly reports
- Conducting prospective donor research and profiles for SHS fundraising priorities
- Analyze information across platforms to identify potential donors and volunteers within the community with specific experience and skills

**Reporting & Data Analysis**:

- Leads and coordinates the analysis of Advancement data as part of school benchmarking, strategic plan metrics, and prospect management
- Manage all requests for information from Veracross and develop queries, exports, and reports required for reconciliation, financial reporting, audit, analysis, strategic planning, donor recognition programs, and other Advancement programs
- Provide regular status reports and program summaries to the Advancement team on fundraising progress, program analysis, highlights, and issues related to all types of prospect activity, relationship management, and donor giving

**KNOWLEDGE, SKILLS & QUALIFICATIONS**
- 3+ years of experience managing database systems, preferably in a fundraising or philanthropic environment
- Excellent analytical and research skills and the ability to problem-solve using sound judgment and discretion
- Excellent verbal and written communication skills
- Experience with querying and reporting as well as data entry and gift acknowledgment
- Understanding of fundraising practices and procedures, and accounting principles
- Outstanding organizational skills and high level of accuracy
- Ability to work with efficiency, enthusiasm, and diplomacy in a dynamic environment, under pressure, with multiple and competing priorities
- Excellent working knowledge of Google Workspace and spreadsheets

Ability to work some flexible hours, including occasional evenings and weekends

**Salary**: $66,000.00-$72,000.00 per year
