**Position Summary**

Reporting to the Manager, the Administrative Assistant provides direct support to the Head of School and the Manager. This is a multi-faceted position that supports key areas of work at Fern Hill School, Burlington Campus and assists with carrying out school-wide responsibilities. This position works closely and collaboratively with the Manager to perform a full range of administrative duties that support the Head of School, with a focus on planning and implementing school events and maintaining student databases.

Primary responsibilities of this position include:
**Responsibilities and Activities**

Administrative database maintenance:

- Maintain student databases maintenance
- Maintain staff records
- Compile student and teacher timetables for the current school year
- Prepare reports for the current school year (class lists, medical notes, etc.)
- Submit and update daily attendance incidents
- Assists with editing report cards (Term 1, Term 2, and Term 3)
- Compile attendance report for year end

Administrative Support:

- Assign and assist with reports, certificates and/or expense forms needing Director’s signature
- Independently manage inquiries and requests; resolve problems using good judgement, in-depth knowledge of the area and general knowledge of the school, its policies and procedures.
- Determine the appropriate course of action and who should assume responsibility for the resolution of each incoming request
- Other additional and/or alternative duties as assigned from time to time, including supporting the Manager, as needed

Re-enrolment Support:

- Collect re-enrolment packages and verify to see all information required has been provided
- Delegate all verified re-enrolment packages to Accounting
- Update rotary and academic school calendar for the upcoming school year

Concert/Shows/Events Coordinator:

- Collaborate with Head of School and Manager to determine dates for school events
- Coordinate school events by ordering appropriate rentals/supplies/catering needed for each event
- Prepare signage, programs, certificates, etc. for each event
- Draft and send communication to go out to parents
- Attends all school events

**Qualifications**:
**Education**
- Post-secondary education or equivalent experience

**Experience**
- Two to three years’ office administration experience

**Knowledge/Skills**
- Advanced computer skills, including Microsoft Office Suite (Outlook, Word, Excel, etc.)
- Strong familiarity with Student Information Systems (Edsembli/Maplewood preferred), school operations, and school policies
- Ability to cope with multiple demands and prioritize
- Exceptional interpersonal and communication skills, ability to interact with individuals at every level and from different perspectives
- Strong organizational skills

**Job Types**: Full-time, Permanent

**Salary**: $50,000.00-$52,000.00 per year
