Professional Development and Remediation Administrator

Position Summary

The PDR Program Administrator is responsible for overseeing and coordinating various activities for the College’s Professional Development and Remediation (PDR) Framework. Working collaboratively with the PDR & QA Lead, PDR Liaisons, Information Management, Communications, and external education providers to ensure goals for PDR are met within set deadlines.

Responsible for the maintenance of the College’s central resource catalogue and providing training, guidance, and support to OCP staff on the use of the central resource catalogue. Responsible for data collection, analysis, and visualization of various OCP assessment and conduct data to share with educational institutions on an annual basis. Updates, coordinates and schedules presentations to pharmacy and pharmacy technician students through educational organizations. Responsible for administering and collecting results for various surveys for appointed role recruitment and post remediation. Manages the recruitment process for OCP appointed roles such as assessors, coaches, mentors and working group members. Coordinates, schedules, and minutes quarterly meetings for PDR Liaisons. Provides support to team members for the efficient and effective functioning of the department.

What you’ll do at OCP
- Update and maintain the College’s internal PDR resource catalogue and external CE listings, ensuring current accurate information on education resources
- Coordinate and plan, with Registration Advisor, CCAPP accredited Pharmacy Technician College activities, program visits, presentations, and bi-annual newsletter
- Update, coordinate and schedule presentations to pharmacy and pharmacy technician students in collaboration with internal staff and external educational organizations
- Provide training, guidance and support to OCP staff on the use of the central resource catalogue
- Administer and collect results for various surveys for appointed role recruitment and post remediation
- Manage and coordinate the recruitment process for OCP appointed roles such as assessors, coaches, mentors and working group members
- Coordinate, schedule, and minute quarterly meetings for PDR Liaisons
- Working in conjunction with College’s Information Management team, analyze and visualize data from various sources and program areas for sharing with internal departments and external stakeholders on an annual basis
- Manage all data collection, analysis and visualization from various sources and program areas including compiling, preparing, and validating information to prepare reports and presentations for knowledge transfer
- Continually examine work process and explore opportunities for improving efficiencies through technology elimination or altering of work processes and make recommendations to the Manager and/or Leads. Work within records management principles and guidelines for record keeping and maintain files of all correspondence, meeting notes and reports in a timely fashion allowing for timely retrieval of information.
- Maintain and improve skills for various College platforms (RADAR, PDR catalogue, MS Forms) and collaborate with other staff to support and train new staff and Committee members
- Provide feedback on processes and practices within the department, to contribute to process improvement
- Review reports to ensure information is current and relevant, coordinate the collection of information both internally and externally, and prepare reports
- Act as a primary contact for questions. Review information on the website to ensure it is accurate, current, and clear
- Plan and organize internal and external meetings including checking availability of all meeting attendees, inviting meeting participants, booking facilities, catering, A/V requirements and web/teleconference arrangements. Compiling and distributing meeting materials in advance of the meeting, recording meeting discussions and organizing/drafting follow-up materials. To assist in facilitation of meetings with Lead(s) and other staff by managing the item development platform.
- Draft and distribute all reports and general correspondence in accordance with College guidelines, ensuring the overall presentation of the work is accurate, professional and completed in a timely manner
- Other reasonable duties as assigned by Manager and Leads
