Leasing Administrator

**Frontenac Property Management** is a locally owned and operated company in Kingston, Ontario. We are a full-service property management company committed to continually improving the rental experience for the investment property owner as well as the tenant. We take pride in representing safe and well cared for properties and understand the value of such an investment.
Your roles and responsibilities will include:
- Respond to parking inquiries and prepare parking agreements. Maintain records of available parking spaces.
- Complete administrative portion of new leases and leases ending as outlined on FPM checklists.
- Schedule month end property turnovers
- Prepare move-in packages and follow up with tenants after move-in
- Liaise with tenants and appropriate utility providers regarding account set up.
- Ensure Fire Safety documents are sent to tenants after move in; are filed and dates tracked
- Maintain vacant property lists and schedule vacant checks as needed.
- Maintain client and tenant files, scanning and uploading documents to company databases
- Conduct property showings and walkthroughs as needed
- Support office in administrative role, answering incoming phone calls and direct calls to appropriate staff. Answer phone inquiries regarding properties, tenant queries.
- Day to day communication with existing tenants.
- Take photos of properties to be used for advertising; when taking on new management, or to update photos on file
Potential for growth into the following responsibilities
- Maintain and update the company website, kijiji and any other sites used, create property advertisements and marketing strategies until properties are successfully rented.
- Superior organizational skills; ability to prioritize and multitask among competing demands
- Critical thinking to solve problems effectively.
- Self-starter with experience working independently and in a collaborative environment;
- College Diploma in Business Administration or Office Administration or equivalent work experience
- Minimum 1 year experience in an administrative support role
- Customer service experience in an administrative or office environment is an advantage.
This is a full time position (42.5hr per week) Monday - Friday from 8:30am - 5:00pm.
