Birchmount Bluffs Neighbourhood Centre (BBNC) is a vibrant multi-service centre serving southwest Scarborough. We are seeking a motivated and outgoing individual for the position of Summer Camp Administrative Support

This position is funded through Service Canada - Youth Employment Skills Strategy initiative. The position is funded for 35 hours per week for 8 weeks at a rate of $15.50 per hour, with opportunity for part-time, flexible hour extension. Applicants for this position must be 15 to 30 years of age inclusive and:
(a) is a Canadian Citizen, permanent resident, or person on whom refugee protection has been conferred under the Immigration and Refugee Protection Act*; and

(b) is legally entitled to work according to the relevant provincial / territorial legislation and regulations.

(c) is not currently working full time or in school full time for the summer months
*International students are not eligible. Recent immigrants are eligible if they are Canadian Citizens or permanent residents.

HOURS: 9:00 am to 5:00 pm, Days: Monday to Friday for the first 8 weeks. There is flexibility for students going back to school to work part time in the fall.

MAJOR RESPONSIBILITIES:

- Assign volunteers to specific camp programs and activities, based on their skills and interests
- Coordinate with Administrative Support to create and implement a volunteer schedule, ensuring adequate coverage and support for camp counselors
- Maintain accurate records of volunteer hours and activities for reporting and recognition purposes
- Provide ongoing supervision and support to volunteers, including feedback and recognition
- Monitor volunteer performance and address any issues or concerns in a timely manner
- Collaborate with camp counselors and program staff to identify volunteer needs and opportunities
- Ensure all volunteers comply with camp policies, procedures, safety guidelines and volunteer responsibilities
- Assist with the planning and execution of volunteer appreciation events and activities
- Provide regular updates to camp leadership regarding volunteer activities and impact
- Create and distribute volunteer manuals, handbooks, and other materials to help volunteers understand their roles and responsibilities
- Reiterate and uphold the concepts overviewed during volunteer training as needed, including orientation, safety, and specific skills training
- Coordinate with other camp staff to ensure that volunteers are properly integrated into camp programs and activities
- Conduct regular check-ins with volunteers to assess their satisfaction and engagement levels, and to solicit feedback and suggestions for improvement
- Develop and implement strategies to recognize and reward volunteers for their contribution and achievements
- Assist Administrative Support in maintaining accurate records of volunteer demographics and information for reporting and program evaluation purposes
- Develop and implement strategies to retain volunteers and encourage their continued involvement in BBNC’s youth volunteer opportunities
- Recruit volunteers to support youth initiatives in upcoming fall and winter opportunities
- Assist with other camp duties as assigned by youth program facilitators and youth development coordinator

QUALIFICATIONS:

- Previous volunteer experience preferred
- Strong organizational and time-management skills, with the ability to prioritize tasks and manage multiple projects simultaneously
- Excellent communication and interpersonal skills, with the ability to interact professionally with staff, volunteers, parents, and campers
- Ability to learn camp policies and procedures, child development, and safety regulations
- Ability to train and supervise volunteers, and provide ongoing support and feedback
- Proficiency in Microsoft Office suite and database management preferred
- Ability to work independently and as part of a team, with a positive attitude and strong work ethic
- Attention to detail and accuracy in record-keeping and data entry
- Flexibility and adaptability, with the ability to respond quickly to changing situations and priorities
- Ability to maintain confidentiality and handle sensitive information with discretion
- Familiarity with the needs of children with different abilities and backgrounds
- Experience with scheduling and coordinating transportation for volunteers and staff
- Ability to problem-solve and make independent decisions in a fast-paced environment
- Familiarity with local regulations and laws concerning youth programs and camps
- Willingness to work flexible hours, including weekends and evenings, as required by the camp's schedule
- Interest in developing volunteer recognition, appreciation and retention activities
- Ability to work collaboratively with other camp staff, including youth program facilitators, camp counselors, and administrative support staff
