**Summary**:
Reporting to the Engineering & Maintenance Manager, the Maintenance Planner will be responsible to manage the administration, purchasing & inventory systems of the Maintenance department and to ensure the efficient planning & deployment of material resources used to conduct maintenance related activities such as PM’s, work orders & projects. The Maintenance Planner focuses on lowest cost execution, downtime reduction, CMMS development & improvement, inventory control, parts & services procurement and assisting in the implementation and continuous improvement of the PM program.

**Purchasing**
- Researching and sourcing parts & vendors
- Search for lower cost parts - conducting RFQs
- Creating and sending purchase orders & followup with vendors to ensure material & resource flow is on track (parts, tools, consumables, services)
- Receive shipments, verify accuracy & quality
- Sort & organize paperwork and send for approval
- Assist with purchasing for Engineering

**Manage & Control Maintenance Inventory System**
- Parts receiving, categorizing, shelving/stocking, updating CMMS and inventory records
- Parts issuing & control of inventory areas
- Labelling, organizing, identifying inventory stores & locations
- Reconciling CMMS with inventory
- Continue to update parts pricing, vendor details, etc.
- Loading & updating parts info by equipment into CMMS for easier ordering
- Conduct regular cycle counts to ensure correct parts are on hand and reconcile with CMMS
- Identify critical spare parts and ensure inventory is sufficiently maintained
- Purge obsolete inventory
- Set up vendor managed inventory where possible
- Develop methods and processes to improve inventory identification, organization & control
- Prepare parts & information kits for specific jobs & projects as required

**Planning & Arranging Preventative Maintenance**
- Administer PM program for Maintenance & Engineering with the goals of reducing downtime & costs
- Assist with planning, scheduling, prioritization and follow-up on PM tasks
- Prepare work packages & parts kits for PM work as needed
- Assist in developing & improving the PM program efficiency and quality of work
- Collect drawings, manuals and other documents to assist contractor and maintenance repairs or modifications

**Administration & Reporting**
- Organizing and printing PMs & PM status updates
- PM data entry into CMMS
- Create follow-up work orders from completed PMs
- Sorting and filing completed PMs
- Organizing and printing work orders & work order lists
- Work Order data entry into CMMS
- Shift report data entry into CMMS
- Print and sort invoice approvals for engineering, wastewater & maintenance
- Correct and adjust PO approval paperwork
- Assist in generating weekly & monthly maintenance reports
- Generate monthly PM report for maintenance, engineering, QA
- Maintain work order lists
- Update food grade/non food grade lists
- Maintain & update equipment and associated parts information databases
- Maintain organized digital and paper filing systems for all documentation
- Meeting with and providing requested paperwork to CFIA
- Support all EH&S policies & procedures
