Reporting to the Proposal and Marketing Manager, the **Proposal Specialist** will be responsible for assisting with the timely management and production of proposal responses (EOI, RFQ, RFP, RFQ, SOQ, etc.). Working in close collaboration with the Pursuit Team, the Proposal Specialist will support strategy development (i.e. win themes / strategies), schedule and attend meetings, record and distribute pursuit meeting minutes, manage pursuit documentation, and coordinate with content contributors / SMEs.

**What is the role?**
- Delivery of compliant, accurate, effective and professionally produced proposal submissions within client-defined time frames
- Write and edit proposal content including cover letters, executive summaries, project descriptions, qualification summaries, project methodology and resumes, ensuring that content that is technically correct and clearly conveys a compelling story that resonates with the Client / Consultant, incorporates win themes / strategies
- Leverage organizational skills to define and manage the proposal response plan, section assignments, and schedule (including proposal color reviews) to ensure that internal deadlines are met and final deliverables are of high quality
- Organize and actively lead proposal status meetings
- Coordinate and review / edit proposal input from a variety of Pursuit Team members / entities, typically involving contributions from engineering, production, finance, commercial, legal, execution teams, and individual / specialty contributors
- Lead document control activities, such as downloading proposal files from client portals, managing client portal passwords and the overall maintenance of internal proposal file structure, as required
- Create and maintain a library of resumes, project profiles, presentations, photos, graphics that adhere to brand standards, ensuring that reviews / approvals are acquired, when necessary
- Create content, presentations, and other proposal-related collateral, as required, that adhere to brand standards, ensuring that reviews / approvals are acquired, when necessary
- If required, assist with reviewing internal and external documents for content, grammar, and formatting
- Supporting business development and strategic initiatives), as required
- If required, will provide support to the Marketing and Communications Team
- Other duties as assigned

**What do we value?**
- Minimum of 5 years of professional experience coordinating teams to develop technical corporate proposals, preferably in the construction, architecture, or engineering industries.
- A certificate, diploma, or degree in Business, Marketing, or Communications is considered an asset.
- Working knowledge of proposal and marketing procedures, work processes, and tools.
- Excellent computer (specifically Word and PowerPoint), writing, and superior proofreading skills.
- Knowledge of the construction industry is considered an asset.
- Proficiency in Adobe Creative Suite, particularly InDesign, is a valuable asset.
- Completion of or progress towards Association of Proposal Management Professionals (APMP) Certification is an asset.
