The Program Assistant, Nursing Placement works under the direction of the Manager and Clinical Lead, Work-Integrated Learning Support Services, and in collaboration with the Nursing Placement Coordinator and Nursing Placement Officer, to organize the logístical components of nursing student placements in a variety of environments. The incumbent creates student cohorts in HSPnet, is responsible for inputting and maintaining student placement data, and facilitates the site selector process for their assigned programs/levels.

**Responsibilities**:

- Load new student information into appropriate cohorts prior to first placement based on assigned programs into HSPnet database
- Contact recurring group placement sites as identified by Nursing Placement Coordinator, in Spring, Fall and Winter semesters to confirm available placements
- Initiate randomized site selector to place students via HSPnet as advised by Nursing Placement Coordinator
- Follow the manual process to place students who are unable to be placed via randomized site selector
- Identify issues with site selector, conflict checker and e-Orientation and recommend solutions and address issues in collaboration with Nursing Placement Coordinator Officer
- Issue confirmation letters to non-HSPnet agencies and preceptored students, and send out preceptor recognition letters via HSPnet correspondence
- Monitor student compliance with WIL requirements for completion and expiration
- Report non-compliance to Nursing Placement Coordinator
- Provide verbal and written guidance to students within assigned Nursing programs/levels to inform them of placement protocols and requirements, and ensure all WIL requirement expectations are met prior to placement
- Participate in college initiatives (i.e. Explore Conestoga, etc.)
- Provide support and assistance to the WIL Document Services team when required

Qualifications:

- Two-year Diploma in Office/Business Administration, Business Systems, or Health Sciences
- Two years of experience requiring interaction with customers and business support activities (e.g. placement processes, office account, and business support functions and systems) in public or private organization
- Working knowledge of the following systems - HSTrax (Health Information tracking system), Health Sciences Placement Network (HSPnet), and Student Information System (SIS) is considered an asset
- Exceptional accuracy and attention to detail
- Excellent time management skills
- Demonstrated aptitude and experience with automated business systems (databases)
- Ability to work under pressure and on multiple tasks simultaneously
- Excellent communication and interpersonal skills
- Exceptional organizational skills to manage workload and deadlines
- Able to work independently
- Creative approach to problem solving
