Position Summary:
A member of the Future Students Unit team in Enrolment Services, the Outreach and Communications Manager reports to the Associate Director, Partnerships and Outreach, Branches and works with multiple McGill faculties, departments, and students. The incumbent will plan, manage, and execute outreach activities, events, and communications, in support of the Branches’ unit's goals and objectives, while supporting Branches’ and the Future Students Unit’s programming and ensuring coherence with the University's mission and culture. The incumbent oversees the planning and execution of the Explore McGill program and the outbound Mini-Explore programming at schools and other strategic outreach initiatives.

Primary Responsibilities:

- Plan, organize, develop, implement a strategic Communications plan for Branches.
- Manage and produce content for social media, videos, articles, newsletters, outreach initiatives, and processes with the unit's goals and objectives, while supporting Branches’ and FSU EDI strategic goals. Programming and ensuring coherence with the University's mission and culture.
- Assist with the preparation of reports and proposals to University Advancement.
- Outreach to new prospective partners, schools, participants, and partnering organizations to build and expand Branches’ network.
- Liaise with Branches’ community outreach associates and advisors on outreach activities targeting underrepresented youth as well as with external partners and organizations, by building new networks and strategic working relationships.
- Liaise with the FSU Communications Manager and CER on a regular basis.
- Coordinate with Student Leadership and Program Manager on outreach and communication activities related to branches’ programming activities.
- Coordinate with EDI Business Analyst on data analysis, reports, and identifying target schools and communities to establish working relationships with them, to expand Branches’ and FSU’s outreach scope, in line with the university’s EDI strategic goals.
- Assist in the promotion and engagement of stakeholder relations such as alumni, students, external organizations, volunteers, employees, and communities of interest.
- Plan outreach meetings, conferences, and special events, including agendas, guest list, logistics, invitations, catering and all necessary equipment and material. Organize outreach initiatives (in person and online) targeting schools and EDI groups, such as conferences, student panels, workshops, campaigns.
- Manage and update contact lists and databases, photos from various programs and activities.
- Compile and finalize reports submitted by team members (the compiled Branches mid term report and the compiled Branches final report) and create other reports as needed.
- Responsible for financial processes for their area of communications and outreach including budgetary planning, allocations, and recommendations.
- Supervise casual staff from the different programs under their supervision (Youth in Care, Explore, other McGill events). Supervise the Communications Assistant, if applicable.

Other Qualifying Skills and/or Abilities:
Experience in communications with a strong understanding of web writing and usability principles. Leadership and coaching experience with leading a team of professionals in a unionized and non-unionized environment. Ability to supervise, support, and assess the performance of staff in their daily administrative operations and tasks. Knowledge of the student life cycle an asset. Analytical mind and excellent communication skills. Proven experience with writing effective web copy. Experience building and maintaining websites using the administration interface of CMS like Drupal and WordPress. Good understanding of HTML and CSS. General aptitude for learning complex user interfaces and technical tasks. Proven organizational skills and ability to prioritize and multi-task accurately with attention to detail. Ability to stay abreast of evolving best practices, policies, and institutional standards for site and content management. Experience working in a PC environment using databases, presentation software and webtools. Excellent interpersonal, communication and writing skills in both English and French (excellent command of French and English). Proven ability to work autonomously and as a member of a team. Knowledge of French and English: McGill University is an English-language university where day to day duties may require English communication both verbally and in writing. The level of English required for this position has been assessed at a level #4 on a scale of 1-4.
