**Summary**:
The Program Assistant is responsible for providing clerical and administrative support. This includes
reception duties, all manner of word processing, record keeping, file and data management, account and
data report preparation, management of program materials and equipment, and mail processing.

**Duties and Responsibilities**:
Provide reception, respond to client and staff enquiries;
Receive and process donations, invoices, payments, recording and receipting of same;
Word processing of correspondence, reports, letters, meeting minutes, etc.;
Perform data entry using database and Excel worksheets and produce statistical reports;
Ensure that administrative and accounting records and reports are complete, timely and accurate.
Ensure that office equipment is in good working order and arrange for service and repair as required.
This includes maintaining, organizing and inventorying program equipment and supplies such as the
toy library, digital equipment, books and resources and other materials.
Set up and open program files with all appropriate documentation as required, update file
management systems as required, and work with staff members to design, reform or adapt systems
to improve efficiency/effectiveness and provide accurate record keeping. Ensure that confidential
files are secure.
Develop and prepare materials such as theme kits, communication systems/boards, as well as flyers
and handouts by using computer software programs, cutting/pasting, laminating and photocopying.
Seek quotes, prepare and send purchase orders to external suppliers of therapy supplies, equipment
and test materials, receive supplies, check invoices against orders and goods received, mark new
equipment and add to inventory lists.
Ensure that work practices comply with agency health and safety standards, program policies and
procedures.

**Qualifications Required**:
Completion of grade 12 and a minimum of one-year administrative experience;
Intermediate level of MS Office program and database systems;
Accurate keyboarding skills of 50 wpm
Required Knowledge, Skills, and Abilities:
Excellent inter-personal skills; telephone reception skills and a professional manner;
Strong organizational skills, able to follow through on procedures and use time effectively;
Good knowledge of standard office practices, methods and equipment.
Excellent attention to detail, proofreading and organizational skills.
Excellent oral and written communication skills.
Ability to work independently and multi-task to meet deadlines.
