**Shared Services Lead - Permanent, Full-Time**

Harrison Pensa is recruiting for a Shared Services Lead to manage our Shared Services Department which supports all Practice Groups with the firm.

**Responsibilities**:

- Provide leadership, direction, and advise staff engaged in providing records management, conflict management and client intake, digitization, billing and accounting support processes, and other services with tasks including the following:

- Opening, re-opening, and closing files in Enterprise/Elite and setting/maintaining retention policies;
- Following Firm procedures to create opened files;
- Prepare pre-bills and invoices;
- Process the invoicing of high value & complex accounts;
- Close files, including write-offs, if necessary;
- Ensures file administration and tasks are managed within established timelines;
- Plan, administer, and oversee tasks for ad hoc projects and contracts;
- Plan, organize, compile, and participate in the distribution, collection and processing of annual file review lists;
- Develop and maintain a complete working knowledge and understanding of all programs utilized in the department;
- Prepare for lawyer onboarding and departures;
- Prepare reports or compile information for Firm Management and Committees;
- Adhere to and enforce Firm policies and procedures;
- Support the department’s Accounting software project components including planning, testing, roll-out, training, implementation, and post-implementation monitoring;
- Support accounting initiatives and projects related to automation, digitization, and process efficiency;
- Review administrative processes as required and requested to help identify and implement potential solutions for improving efficiency and internal customer experience;

**Qualifications**:

- Post-Secondary degree or diploma in Business Administration, Accounting or related discipline;
- 3+ years of leadership experience
- 7-10 years’ experience in a fast-paced administrative role;
- Billing or Accounting related experience;
- Experience in a financial or professional institution would be considered an asset;
- Strong verbal and written communication skills;
- Attention to detail with strong administrative and organizational skills;
- Critical thinking and decision making skills;
- Proficient in Microsoft Office Suite;
- Experience in Enterprise Elite, iManage, Athennian and PrimaFact considered an asset.
