**Medical Office Assistant - Multiple roles (contract and permanent)**

WellFort Community Health Services is seeking a dedicated and compassionate Medical Office Assistant (MOA) to join our interprofessional team.

As an integral interdisciplinary team member of WellFort the MOA provides administrative and logístical support to the Clinical Team to ensure effective and efficient service delivery of all program components provided by WellFort. 

This position requires flexibility in hours of work to support accessible program service delivery and the centres hours of operation. As such the position entails some evening and weekend work. 

**RESPONSIBILITIES**
- Handle all reception duties for WellFort programs at the locations, ensuring adequate coverage based on operational hours and service needs.
- Greet clients warmly and maintain a welcoming, calm, and non-judgmental environment.
- Manage a busy waiting room, ensuring smooth operation of same-day and appointment-based services, and attend to clients' needs.
- Schedule appointments, book referrals, and download results.
- Perform general intake and pre-assessment of clients registering for programs and services.
- Ensure client information is accurate and up-to-date in the Electronic Health Record (EHR).
- Provide administrative and logístical support, including photocopying, faxing, form creation, and maintaining contact and referral lists.
- Perform general office duties such as scanning, creating provider schedules, and data collection.
- Ensure that office equipment is well maintained and in good working order.
- Support program planning, development, and implementation by creating effective administrative systems.
- Perform tasks related to panel management, track cycle times, and supply and demand.
- Coordinate the ordering of program resources and supplies.
- Assist with other related duties as assigned, including larger Community Health Centre (CHC) functions such as the Annual General Meeting (AGM).
- Works with community members, staff, and partners to identify issues and develop projects and advocacy strategies  
- Joins relevant professional groups to maintain professional linkages and support. 
- Participates in research when opportunities arise. 
- Other duties and responsibilities as may be assigned from time to time.  

**QUALIFICATIONS, EXPERIENCE & SKILLS**
- Relevant knowledge and experience attained through graduation from a recognized College/University in Medical Office Administration or a related field.  
- A minimum of two years experience in a similar position preferably in the Community Health Centre or Social Services Sector. 
- Sensitivity to and awareness of cultural, racial, economic, and socially diverse communities.
- Proven customer service skills with a strong focus on client satisfaction.
- Excellent written and oral communication skills tailored to individual and community needs.
- Experience handling confidential and time-sensitive documents.
- Strong interpersonal skills with the ability to multitask in a fast-paced environment.
- Experience working in a value-based non-profit or social services organization.
- Ability to work effectively both independently and as part of an interdisciplinary team.
- Ability to speak languages relevant to the residents of the organization’s community is an asset.

Salary Range**:$36,026 - $43,373** (pro-rated to FTE) (consideration of experience)

Compensation package includes health and dental benefits and HOOPP pension benefits. (based on employment status)

**VACCINATION REQUIREMENT**:
As a condition of employment, new WellFort staff must be fully vaccinated unless they have received an exemption from vaccination under the Human Rights Code. Proof of COVID-19 vaccination status will be required before the first day of work or, proof of religious or medical exemption, if or where applicable.

Fully vaccinated is defined as having received the completed series of an accepted COVID-19 vaccine, as recommended by the Office of the Chief Medical Officer of Health and having received the final dose at least 14 days before your employment start date.
