The opportunity

The Hospitality Associate provides high quality customer service to all OTPP employees Ensures that the boardroom and all meeting rooms are set up on time and to customers’ satisfaction Ensures that the lunchroom, coffee stations and meeting rooms are cleaned and organized as the need arises daily

Who you’ll work with

The Hospitality Associate will report to Team Lead, Hospitality.

What you'll do

1. Customer Service:
- Ensure all coffee stations, boardroom and lunchroom equipment (with the exception of audio/visual) and furniture are clean and in working order. Advise Senior Facilities Manager of any deficiencies.- Oversee administrative tasks including verifying information from meetings and sources, managing a high volume of interactions with organization members- Ensure set up of Board of Directors and internal meeting room luncheons on all floors meets customers’ requirements in a timely and efficient manner. Also ensure that rooms are reset to original layout after each meeting (including moving furniture, dishes, etc.,- Prepare coffee for the main lunchroom and all coffee stations and ensure that there is an adequate stock of supplies in the lunchroom and coffee stations- Ensure optimum inventory of lunchroom/coffee station supplies, shop for miscellaneous supplies and maintain records of inventory (including kitchen equipment in anteroom)- Maintain effective communication with all employees/customers. Keep manager informed of significant issues regarding operation issues, customer complaints, etc.,

2. Maintaining OTPP Premises:
- Complete various maintenance requests i.e. replacing light bulbs, repairing furniture and equipment- Assisting with moves- Placing orders for office supplies, matching and reconciling purchase orders, packing slips and invoices- Assisting with customer inquiries and/or requests

3. Other duties as required:

What you'll need- Strong customer service and teamwork orientation- Proficient in Outlook and Excel, with responsibilities including booking and rescheduling meetings, requiring clear and professional communication.- Ability to maintain a professional demeanor at all times- Excellent interpersonal, communication and organizational skills- Flexibility to respond to changing priorities and customer expectations in a fast paced environment- Attention to detail.- Experience using various software programs e.g. Microsoft office, Word, Excel, lotus Notes, Meeting Room Reservation System and the Purchase Oder Number Generator System- Ability to work with minimum supervision- Proven initiative when faced with problems and provide solutions- Physically able to lift up to 60 lbs.- This position requires extended periods of standing, walking, lifting and bending
