The receptionist will professionally and efficiently assist customers both over the phone and in person ensuring they are directed to the proper personnel and questions are addressed. They will ensure front desk and door access is managed at all times.
**Job Duties**:
- Receptionist is the first face clients see and must maintain a professional appearance which is appropriate for a business environment
- Ensure Reception area is always neat tidy and presentable to all incoming guests and customers.
- Ensures all incoming calls are answered in a quick professional and timely manner.
- Consistently distribute all calls to appropriate individuals and departments.
- Page employees as required and transfer callers to voice mail system.
- Ensure that switchboard back up is properly trained.
- Greet visitors courteously determine their needs and direct them to the proper person.
- Ensure visitor security procedures are followed.
- Sign in and log all visitors and issue visitor contractor badge.
- Collect when they exit the building.
- Ordering of taxis and airport limousines for client’s guests and out of town employees.
- Ordering lunch as requested by Manager fellow Admin Assistants or Human Resources Manager.
- Assists Accounts Receivable with the daily folding of invoices and mailing of those invoices to Olympus customers.
- Assists Human Resources with the sending of gift baskets and flowers or donations in lieu.
- Provides assistance to Marketing Admin with various mass customer mailers as required.
- Provides assistance to Clinical Support Admin with administrative tasks related to Certification Courses as required.
- Monitors invoices to ensure that billing charges are appropriate and that all required information is present so that payment may be processed.
- Perform other duties as assigned.
**Job Requirements**:
**REQUIRED QUALIFICATIONS**:
- High school diploma required.
- Minimum of 2 years of experience in a receptionist and/or administrative assistant or customer service position.
**PREFERRED QUALIFICATIONS**:
- Ability to interact with visitors’ customers professionally and effectively in person and on the telephone.
- Ability to prioritize and handle multiple tasks from both internal and external customers.
- Well-developed problem-solving skills.
- Excellent oral and written communication skills.
- Demonstrated strength in professional business writing.
- Proficient in Microsoft Outlook, Excel, Word, and PowerPoint.
