Access Services Manager

**Position description**:
Reporting to the Dean of Libraries & Archives, the Access Services Manager leads the Access Services (AS) team and provides direction for print and digital resource sharing services. The Access Services team is a patron-focused unit responsible for resource sharing, circulation services, course reserves, stacks and collection maintenance, and display and promotion of library materials. This position serves as a building supervisor and as a member of the library’s leadership team.
This position assists with staffing coverage. Weekend, evening, and holiday hours may be required.
**Responsibilities**
- Lead the day-to-day operations of the Access Services department. Primary responsibilities of the unit include: accurately maintaining patron records; circulation of traditional and non-traditional resources (e.g. laptops); course reserves; resource sharing including interlibrary-loan and digitization; stacks and materials maintenance; creating and maintaining displays and other promotions; assisting librarians with outreach and engagement activities; providing basic tech help (e.g., copiers, printers, and microform machines); facilities supervision; and managing room-bookings.
- Hire, train, supervise, and assess the work of AS staff. Collaboratively develop and maintain up-to-date onboarding, training, procedures, and policy manuals; coordinate the daily work of staff members, track progress on projects; create and manage the schedule in collaboration with the Assistant Head of AS; delegate tasks and responsibilities effectively; provide regular feedback and ensure effective intra-unit communication; establish a culture of continuous improvement and creativity to ensure outstanding services to patrons, empowerment of library staff, and efficiency and effectiveness of workflows.
- Provide a knowledgeable and welcoming first point of contact for patrons, engaging with users in-person, online or phone. Resolve or refer questions or issues using good judgment following established guidelines and best practices. Effectively communicate library practices, policies, procedures, and services. Develop positive relationships with faculty, staff, students, and visitors.
- Develop and maintain a high degree of comfort with Alma analytics and other collection management and patron account tools; stay current on, implement, and recommend best practices and platforms in access services and resource sharing; maintain updated knowledge of Canadian Copyright Law; maintain departmental statistics and create reports as needed.
- Assist librarians in assessing user needs and recommending new policies, services, programs, and procedures to enhance the learning and user experience for all library patrons.
- Participate as a member of the library leadership team and represent the library on relevant external committees (e.g., Novanet); participate in other professional development opportunities and library committees as appropriate. Participation in activities that promote and enhance the libraries, collections, and services, including representing the Libraries & Archives at campus events, is welcome.
- Assist other members of the Libraries & Archives team within and across departments as appropriate when a need arises.
- Serve as building supervisor. Monitor the library’s safety and security systems including fire alarms, exit and electronic door alarms. Co-ordinate initial response and reports alarm situations. Serve as the point of first contact in the event of emergency or other unplanned after-hours situations.
**Qualifications/skills**:
- A university degree, and a minimum of 3 years' library experience required, with training and knowledge of library science principles and practices, preferably in an academic environment. Please note: an equivalent combination of education and experience will be considered.
- A minimum 2 years of supervisory/managerial experience is necessary.
- Additional library technician diploma is preferred.
- Strong oral and written communication and interpersonal skills. Strong service orientation as well as the adaptability and sensitivity to meet the needs of a diverse user population. Ability to maintain good working relationships in a team environment.
- Experience with Library ILS (Alma preferred) and proficiency with Microsoft Office is required, as is the ability to learn and implement new technologies and platforms.
- Attention to detail and the ability to prioritize and switch between multiple tasks in a fast-paced environment. Must be able to manage projects from start to finish.
- Knowledge of copyright and digitization practices in the academic library environment is an asset.
- Must be available to work in rotation evenings, weekends, and statutory holidays as well as in inclement weather; may be required to serve as backup staff or respond to emergency situations outside of normal work hours.
