Construction Project Coordinator

**Availability**: Monday-Friday

**Roles and Responsibilities**:
1. Contract Change Orders - generate, distribute and execute trade specific contract change orders via Sage Timberline with accuracy and in a timely manner as necessary.
2. Utilize Procore construction management software to generate and respond to RFI’S, conduct formal shop drawing/submittal reviews, manage site documents, etc.
3. Consultant communication - communicate with project specific consultant teams as necessary to assist with project progress, ie. schedule on site meetings, formal field reports/inspections, etc.
4. Project tendering - gather estimates/quotations from trades and suppliers as required during the project tendering stage or for miscellaneous items.
5. Conduct concrete volume analysis/takeoffs for procurement purposes. Order concrete from designated supplier for delivery to project as required. Accuracy of order volumes is imperative, error tolerances to be followed strictly and not exceeded.
6. Perform material quantity takeoffs using software such as Plan swift, On-Screen Takeoff, Bluebeam Revu to support the estimating department.
7. Supervision of junior project coordinators to ensure scopes are being fulfilled and projects are running smoothly with regular check ins (usually daily but guaranteed weekly).
8. Communication with municipal authorities as part of construction permitting process and production of deliverables as required, ie. construction management plans.
9. Payroll assistance - This includes conducting reviews of contractor invoices regularly to verify accuracy of claims prior to payment.
10. Process paperwork for on site activities - Cost code relevant billable hours, fill detailed daily work sheets (coordinate with the Labour Foreman/On Site Coordinator for this time, it is a shared role). Assign PO’s for necessary works required on site. Report billable hours to Quorum accounting department for processing. Strong use of Microsoft Excel.
11. Place orders with suppliers and coordinate deliveries to site as required. Issue PO’s for orders, cost code line items accurately. Coordination with Quorum central purchaser in the head office for formwork materials at the discretion of the Site Superintendent.
12. Daily reporting - track site progress and process/distribute daily reports for site team and head office. There will be one report for Quorum progress (formwork, concrete finishing, etc.) and a separate report for the overall site progress (all trades). - this task has recently been delegated to Bryan Hickey at the site level.
13. Special reporting - Site Superintendent may have specific items that need to be tracked, recorded, followed-up, etc. The project coordinator will be required to assist with this special reporting from time to time including keeping track of materials/consumables, rentals, deficiency repairs, schedule tracking, etc.
14. Contact suppliers for service requests, deliveries, returns, dumps, etc. at the direction of the Site Superintendent.
15. Meeting minutes - assist with the site and office management teams to take minutes for trade meetings, managers meetings, distribute minutes to relevant parties, etc.
16. Control project specific documents - keep as built copies of project plans updated for RFI responses, and Site Instructions. Also, responsible to ensure that shop drawing submittals, RFI responses, site instructions, inspection reports and field reviews are organized and accounted for. (Procore/Dropbox/Shared Drive).
18. Ensuring all parties are performing to their maximum potential while maintaining Quorums interests/objectives a top priority.
**Additional Responsibilities**:
1. Accommodate clients requests outside of traditional construction management scope of work, ie. arrange sales personnel or prospective purchaser walk throughs/site visits.
2. Engage with clients to provide support with unconventional queries, ie. leveraging relationships with certain parties to provide the client with desired outcomes, ie. working with developer and strata surveyor to determine strata plans, etc.
3. Coordinate and participate in regular Quorum Group corporate charity and team building functions and BBQs beneficial for team building and brand awareness.
4. Assist Quorum social media personnel with marketing efforts on occasion.
