**Scope**

Reporting to the President, the incumbent is responsible for managing the overall operations of the Programs (Adult Basic Education, _Au Futur_, Briliant Minds and Footsteps Programs) and Services of the Jamaica Association of Montreal Inc. The incumbent is also responsible for managing staff, assessing and implementing continuous improvement processes and performing various interrelated tasks as it pertains to the role.

**Responsibilities**
- Oversees all initiatives in the program and ensures that the programs objectives are achieved.
- Collaborate with key stakeholders within the Association (President & HR Director) regarding programs, staff, office procedures and the overall health of the office.
- Ensures optimal and efficient collaboration with external third parties.
- Collaborates with the Executive Board on various projects;
- Reviews reports provided by staff and present required documentation/information to the President.
- Performs other related duties in support of the organization as assigned by the President.
- Enables a strategic vision and positive work environment for all clients, staff and volunteers at the Jamaica Association;
- Performs administrative support duties that include:

- drafting and preparation of correspondences and reports,
- maintains an organized filing system (physically and electronically),
- completes and processes various forms.
- collects money / cheques for programs and services and issues receipts;
- Manages the Adult Basic Education (ABE), _Au Futur_, Brilliant Minds& Footsteps Programs;
- Intake of clientele for the _AuFutur_ Program;
- Review Contract with new clientele ensuring the rules are understood, signed by client and President;
- Weekly meetings with President regarding the Programs & Office matters;
- Monthly meetings with Coordinators of the ABE, Brilliant Minds, _Au Futur _& Footsteps Programs;
- Prepares and submits monthly reports for the ABE, Brilliant Minds, _Au Futur_ & Footsteps Programs
- Oversees file management in all programs;
- Develops and maintains links with partners, and participates in collaborative activities with agencies and institutions with similar mandates for the ABE, _Au Futur, Brilliant Minds,_ & Footsteps Programs;
- _Au Futur_ Program
- Recruits qualified mothers using various outreach methods;
- Assesses the needs of the mothers;
- Encourages mothers to participate in social reinsertion programs and in activities that help in the stimulation and development of their children;
- Ensures the participation in follow-up programs for mothers and children of the _Centre integrée universitaire services sociaux (CIUSS);_
- Collaborates with key stakeholders and third parties to provide resources/services as required; host workshops, information sessions and meetings; support mothers in attending support groups with their children; ensuring a good mother/child relation through the organizing stimulation activities and games workshops for parents and children;
- Creates and organizes public awareness workshops / activities highlighting the reality of early motherhood for young Black women;
- Keeps a detailed log of program participants, activities, needs and outcomes must be kept reporting on the program progress, issues that arise and issues of immediate concern. This log must be available for the President and his/her delegate;
- Ensures waivers are signed to protect the organization prior to any outings.

Portée

Relevant du président, le titulaire est responsable de la gestion de l'ensemble des opérations des programmes (Éducation de base des adultes, Au Futur, Briliant Minds et Footsteps) et des services de l'Association jamaïcaine de Montréal Inc. Le titulaire est également responsable de la gestion du personnel, de l'évaluation et de la mise en œuvre des processus d'amélioration continue et de l'exécution de diverses tâches interreliées dans le cadre de son rôle.

Responsabilités

Superviser toutes les initiatives du programme et veiller à ce que les objectifs du programme soient atteints.

Collaborer avec les principales parties prenantes au sein de l'association (président et directeur des ressources humaines) en ce qui concerne les programmes, le personnel, les procédures administratives et la santé générale du bureau.

Assurer une collaboration optimale et efficace avec les tiers externes.

Collaborer avec le conseil d'administration sur divers projets ;
Examine les rapports fournis par le personnel et présente les documents/informations requis au président.

Effectuer d'autres tâches connexes à l'appui de l'organisation, selon les instructions du président.

Favoriser une vision stratégique et un environnement de travail positif pour tous les clients, le personnel et les bénévoles de l'association Jamaica ;
Effectuer des tâches de soutien administratif, notamment

la rédaction et la préparation de correspondances et de rapports,
