Job Description:
The incumbent serves as the first point of contact for the admission, registration, and fee collection process for Academic Upgrading students. The incumbent is also responsible for providing support to the Academic Access Centre Office, the Chair, the Academic Access Advisors, Coordinators, and full-time and part-time faculty.

Duties and Responsibilities:
For Academic Upgrading admission, registration and fee collection processes

The Academic Access Centre operates an admission and registration office for the Academic Upgrading program, providing full service from answering enquiries, to admissions, registration, fee collection and collection of bursary documentation.

The incumbent:
- guides new and returning students through the admission and registration processes, providing advice on documents that they will need to provide to register, what forms need to be completed and what funding sources might be available to them. (e.g. Institution-Funded Special Bursary or Literacy and Basic Skills Program)- verifies authenticity of original documents- follows-up with students to obtain missing information or documents- enters new student information and registers students into the Goal Orientation course using Academic Upgrading’s A-Term GeneSIS screens- receives and processes student payments (e.g. material fee, tuition, IT fee, replacement costs of books or modules that have been lost)- reconciles cash, credit card receipts and cheque payments received during the day and delivers deposit- maintains the list of Academic Upgrading students who are 18 years old or younger- maintains the list of students registered for the day and evening Goal Orientation courses- assists with the maintenance of intake lists and student information for Preparation for Health Sciences- provides back up coverage for the Information and Registration sessions of Preparation for Health Sciences- liaises with College Test Centre staff to set the Preparation for Health Sciences testing session dates and receives the test results- files and retrieves student record information, including from archived records

For the Academic Access Advisors, the incumbent- is the first point of contact for clients seeking information about the Academic Access Advisors services- recommends to clients that they meet with an Advisor, based on conversations with clients enters client information into SalesForce and schedules appointments with an Advisor using the SalesForce calendar feature

For the Academic Access Centre Office, the incumbent- remains current with departmental policies, procedures and best practices, and is able to inform others in the department- assists the department in the audit process- is responsible for disposal/shredding of confidential student/departmental information- prepares correspondence and meeting minutes- assists with departmental retention activities- orders and maintains supplies of departmental and College promotional materials- prepares and posts notices on Academic Access Centre office door, posts notices of class cancellations / room changes, announcements, etc- maintains the departmental storage rooms in good and clean order- maintains the supply cabinets in good and clean order and notifies appropriate staff member when an order is needed.- distributes incoming mail- ensures physical / environmental problems reported to the department main office are directed to the appropriate help desk / call centre- provides back up coverage for other office staff, the Academic Upgrading Test Centre and the Module Centre- prepares and prints student Certificates of Achievement

Other duties as assigned.

Required Qualifications- Minimum one (1) year certificate or equivalent in Office Administration, or other related fields.- Minimum three (3) years of relevant experience; some of which should be in an educational environment.

Anticipated Weekly Schedule:
- Mondays - 6 hours- Tuesdays - 6 hours- Thursdays - 6 hours- Fridays - 6 hours
