Forest Valley caters to seniors that have dementia that can range in severity from the mildest stage, when it is just beginning to affect a person's functioning, to the most severe stage, when our residents must depend completely on others for basic activities of daily living, such as feeding oneself. You may encounter residents that yell, hallucinate, cry, become agitation or disorientated for now reason apparent to us. As a team, we are there to support them, care for them and give them a safe place to live.
- Front end duties that include answering the phone, greeting family members, potential new clients, taking care of couriers that come in or need to be sent out
- Maintain confidentiality of all financial, personnel and resident information
- Putting together orders for the company (kitchen supplies and office supplies)
- Manage accounts payable, completion of monthly A/P accrual, expenses and petty cash.
- Store, update and retrieve financial data
- Maintain departmental budget. Keeping within budget guidelines
- Bank deposits, weekly and monthly
- Ensure that all new hires have the proper documents filled out
- Maintain training roster, ensuring every staff member has attended mandatory in-services
- Maintain seniority list for both unionized and non-unionized staff members.
- Replace front desk staff as needed
- Coordinate all resident move ins and move outs: create new resident file, meet with new residents to complete file, provide resident with resident handbook
- Minutes to weekly manager’s meetings
- Meet with residents and/or family members after CEO meetings with action plan and follow up when needed
- Assist CEO with various projects
- Helped with the planning and execution of company events,
- Perform clerical office duties which include filing, scheduling appointments, supply orders, booking meeting for internal and external events, answering all incoming calls, maintaining equipment etc.

**Job Qualifications**:

- Knowledge of office management systems and procedures.
- Working knowledge of office equipment, like printers and fax machines.
- Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)
- Excellent time management skills and the ability to prioritize work
- Attention to detail and problem-solving skills
- Excellent written and verbal communication skills
- Strong organizational skills with the ability to multi-task
- High School degree: additional qualification as an Administrative Assistant or Secretary will be a plus

- You must be legally allowed to work in Canada
- You must be in good physical health as this job requires lifting, sitting, standing, and walking.
- Must have availability to work weekends rotations

**Education**:

- Secondary School (preferred)

**Experience**:

- Front desk: 1 year (preferred)
- Administrative experience: 1 year (preferred)
