Finch Drive in Squamish is DHD’s latest project. DHD has secured four stunning mountainside view properties in central Squamish totaling over 20 acres. This future master-planned community will use modern building technologies to achieve some of Squamish’s most energy efficient, multi-family homes. We are seeking a **Project Administrator** to review contracts and specifications; determine company commitments and obligations; and ensure familiarity with all of the details in each project contract and subcontract documents, including all plans and specifications. This role audits proposals to ensure all terms are covered, payment conditions are explicit, and the company’s interests are protected. The Project Administrator reports to the Project Manager.

**THE ROLE: RESPONSIBILITIES and ACCOUNTABILITIES**

Be knowledgeable about company goals and financial progress. Support the strategic plan to advance the company’s mission and objectives and to promote revenue, profitability, and growth as an organization.

Communicate with the Project Manager on any and all issues that could be detrimental or create new opportunities.

Create and lead a culture of respect, integrity, and open communication. An environment that is conducive to teamwork and that delivers a high level of customer satisfaction, revenue growth, and profitability.

Assist Project Manager with development of scopes of work and bids for tender; ensure contract terms and conditions are accurate for the project; manage the tender process, including tender analysis and scope accuracy; and compile contracts and release contracts for signature.

Ensure contracts and other documents comply with relevant regulations, laws and industry standards.

Prepare contracts and purchase orders for review by the Project Manager.

Review plans, specifications and contracts to ensure the correct equipment, material and subcontractor services are ordered and purchased.

Contact subcontractors and suppliers to resolve contractual issues as required.

Complete file management including all drawings, RFIs, Sis and quotes.

Follow up on quotations with trades and suppliers for change orders.

Manage the submittal process and follow up with consultants and trades for submittals and submittal reviews.

Input contracts, purchase orders and change orders into Spectrum.

Ensure contracts are reviewed and renewed before expiry dates and manage other paperwork related to contracts as required.

Maintain records and filing systems for future reference on existing and new contracts, bids and proposals.

Assist Project Manager with budget monitoring as required, including issuing Change Requests.

Work with Project Managers and other team members to ensure project goals are met.

Complete other duties that may be assigned from time to time by the Project Manager.

**QUALIFICATIONS**

**Education and Experience**
- A high school diploma, with a certificate or additional education in business and/or construction an asset;
- Experience working as a Project Administrator or equivalent position an asset;
- Construction experience, preferably in residential construction, an asset;
**Skills**

**Comprehensive knowledge of**:

- Managing the contract process;
- Procurement and contract administration including legal and contractual language;
- ERP systems or Construction Management Software;
**Proven skill in**:

- Problem-solving with the ability to effectively analyze, plan, prioritize and execute;
- Interpersonal relationship building;
**Demonstrated ability to**:

- Maintain quality and attention to critical details under pressure and tight deadlines;
- Collaborate with a variety of stakeholders to produce high-quality results;
- Communicate and present clearly and confidently including translating technical language to lay audiences; and
