- **Job Summary**:
We are seeking a highly organized and detail-oriented individual to join as a Medical Office Assistant. As a crucial member of our healthcare team, you will be responsible for providing administrative support and assisting in the efficient operations in our Vaughan Endoscopy SRx clinic. Your primary role will involve managing patient records, ordering supplies, scheduling appointments, coordinating communication, and performing various clerical tasks to ensure smooth day-to-day operations.
**Your day-to-day responsibilities -**
- Scanning documents to maintain electronic records for a ‘paperless’ office
- Updating ENDO PRO (Pentax) software to schedule appointments and enter patient information.
- Discreetly handles all matters and maintains confidentiality.
- Ensures that collection of money (Visa, cash and cheques) is done accurately and securely.
- Coordinate the set up and maintenance of the clinic as it relates to office supplies, ordering, and inventory.
- Anticipate and proactively deal with issues to help facilitate efficient patient flow, and to coordinate an outstanding patient experience.
- Ensures that reception and waiting rooms are kept tidy
- Must adhere to VEC standard operating procedures, business practices and requirements as pertaining to the role.
- Resolves any other VEC related item as may from time to time be considered appropriate and applicable by either the VEC executive or the Business Manager.
**Job Specifications & Qualifications**:
- Prior endoscopy experience preferred but not necessary excellent communication skills quick learner
- College diploma or other post-secondary education preferred. Previous Medical Office experience MOA certificate or equivalent education and experience
- Recent previous experience in medical office preferred
- Demonstrated experience in administrative support role
- Demonstrated knowledge and skill working with computer technology.
- Demonstrated ability to function independently and within a team environment
- Strong communication and decision making skills required.
- Demonstrated strong organizational and interpersonal skills required.
- Able to work in a fast paced environment.
- Must have an excellent attendance record. Available to work Saturdays 1-2 days/month Flexibility with hours
- must be available to open the clinic at 7:15am on some days and close the clinic other days
