- POSITION OVERVIEW

The Coordinator, Corporate Secretariat contributes to the effective operation of the department by planning and coordinating the day-to-day activities of the team. The incumbent actively participates in the research and implementation of innovative solutions for all situations likely to affect the efficiency or quality of the services offered by the Corporate Secretariat. Among other things, acts as a first-level contact person for all requests addressed to the Corporate Secretariat. This person develops, documents, implements, and ensures compliance with procedures and processes and also ensures compliance with deadlines and budget follow-ups.
- CHALLENGES TO BE ME- Ensures the planning, organization and coordination of meetings of the corporate secretariat team and carries out minutes and follow-ups.- Collaborates with the Director, Corporate Secretariat, to determine priorities and organize work to ensure the achievement of the department's objectives. Follows up with team members to ensure that action plans, mandates and activities are completed and delivered within the required timelines. Report on these follow-ups to the director and suggest areas for improvement, if necessary.- Develop and implement procedures and tools to contribute to the efficiency of the Corporate Secretariat team;- Monitors the performance indicators (KPIs) and dashboard of the Corporate Secretariat team to help the Director, Corporate Secretariat, to ensure the achievement of the department's objectives and the diligent follow-up of files.-
- Act as an interface for smooth and efficient communication between the Corporate Secretariat and internal and external stakeholders;- Ensures that the Corporate Secretariat team receives all the necessary information in a timely manner to contact BDC executives and members of the Board of Directors.- Demonstrates leadership to maintain credibility, trust, and support with senior management, executives, and all employé.es.- Initiates and contributes to the budget planning process, prepares estimates, verifies the accuracy of month-end reports, and corrects any discrepancies with the finance department.- Ensures the processing and rigorous follow-up of invoices and expense accounts.- Participates in the process of issuing and processing contracts and purchase orders;- Processes files and various requests quickly, proactively and follows up on projects until they are completed, often with deadlines.- Participates, in collaboration with the officers of the department, in certain files/projects/special mandates.- Performs all other tasks related to the nature of their duties.
- WHAT WE'RE LOOKING FOR- DEP or DEC in legal, administration, information management or any other relevant field;- Five to seven years of experience as a legal coordinator or paralegal- Fluency in spoken and written French and very good knowledge of English;-
- Excellent organizational, planning and administrative skills- Autonomy and adaptability- Initiative,- Strong customer focus and team spirit- High attention to detail- Strong interpersonal skills and ability to maintain good relationships with external and internal stakeholders at all levels of the BDC, including management- Ability to work under pressure in a fast-paced environment and meet deadlines- Strong coordination and time management skills, including the ability to organize work and manage multiple competing priorities- Excellent communication skills and writing and editing content related to Corporate Secretariat and/or the legal field, in both French and English- Trustworthy and responsible;- Discretion, diplomacy and tact.
