Reporting to the Event Lead, Marketing & Communications, the Monitor Coordinator is responsible for recruiting, training, and overseeing student monitors in preparation for, during and after OCAD University’s annual Graduate Exhibition (GradEx). Post-event activities include approving student monitor hours and coordinating payments.
**Summary of Responsibilities**:
- Administration_
- Organize call for GradEx student monitors, collecting responses and developing a comprehensive contact spreadsheet
- Assign and communicate shifts to student monitors in a timely manner, coordinating changes as required
- Distribute and collect all student monitor new-hire and onboarding documents required to ensure timely payments
- Maintain a detailed schedule of GradEx shifts and assigned students
- Maintain GradEx binder containing important administrative support materials for event including shift sign-in sheets, key contacts, guest counts and training documents
- Ensure that timesheets are submitted on time and cross-reference all student monitor hours with the Director, Marketing for approval
- Prepare final report at the conclusion of GradEx as required

- Lead mandatory training for all GradEx student monitors in conjunction with Safety Security & Campus Operations and the Centre for Emerging Artists & Designers
- Oversee student monitors, ensuring that a Monitor Coordinator is on site at all times
- Coordinate GradEx lunch deliveries for student monitors and ensure that the student lounge is kept clean and tidy
- Support student monitors with setting up and tearing down the Graduate Exhibition
- Purchase and transport event supplies as needed
- Ensure systems and processes are in place to provide superior customer service to both internal and external stakeholders, including participants, attendees, suppliers, sponsors and staff
**Qualifications**:
- Recent graduate or senior OCAD University student not participating in GradEx
- Minimum one (1) year of experience working in events management and communications, preferably within the arts and cultural or educational sector, and familiarity with the Toronto art and design communities
- Demonstrated planning & organizational skills with tenacity and attention to detail to meet project needs/timelines
- Energy, creativity and enthusiasm necessary to achieve established goals
- Excellent oral and written communication and interpersonal skills in working with staff and external stakeholders
- Flexibility to work weekends and evenings as required
- Experience with the coordinating and training of student employees, including organizing, prioritizing, and scheduling work assignments
- Demonstrated ability to prioritize competing demands, meet deadlines and work as a member of a team
- Demonstrated commitment to the principles of equity and diversity, and demonstrated experience promoting a respectful work and learning environment for students, staff and faculty
**Mode of Work**:The incumbent in this role will be expected to report to work on campus.
**Compensation**:$22.40 per hour commensurate with experience, plus 4% vacation pay and 7% in lieu of benefits.
**Hours of Work**: 5 hours per week. This is a temporary contract expected to begin March 3, 2025 and continue until May 16, 2025.
