- College diploma in business administration required or equivalent combination of work and/or

experience.

- Must possess excellent managerial skills
- Ability to make complex decisions and problem solve confidently and efficiently.
- Work experience in a secretarial/administrative assistant and clerical position.

**Position Summary**:
The Head Secretary will provide effective and efficient secretarial and clerical services as directed by the

Principal of the school or their designate. The Head Secretary will be an exemplary secretary while
delegating, managing office staff, supervising task completion, and training other school secretaries in

the completion of school office tasks as outlined below.

**Responsible To**:
The Head Secretary is responsible to the Principal of the School.

**Specific Duties**:
Accounting Functions
- Implement the procedures for school-based funds as directed by the Principal.
- Advise the Principal of any deviations for the procedures. Investigate and correct questionable

data.
- Provide assistance during the internal and/or external audit process.
- Liaise with teachers and staff on school funds.
- Record Keeping:

- Maintain appropriate supporting and financial documentation.
- Maintain an efficient filing system for accounting records.
- Record transactions on a timely basis.
- Complete monthly bank reconciliations on a timely basis.
- Print monthly transaction reports and distribute to those responsible for classes or

clubs.
- Prepare financial statements and perform year-end procedures.
- Receipts:

- Count funds received and verify amounts.
- Issue receipts.
- Prepare bank deposits and deposit funds at the bank on a regular basis.
- Disbursements:

- Receive invoices/reimbursements for payment.
- Prepare cheques for signing with appropriate supporting documentation attached.
- Create online shopping items for parents/guardians to purchase through School Cash Online.
- Maintain current and accurate school purchasing records: order supplies, issue payment

authorizations and purchase orders.
- Receive all deliveries, check packing slips for accuracy, and receipt purchase orders to ensure

payment.
- Secure school funds and manage/secure safe.
- Maintain and reconcile petty cash fund, process reimbursements for staff and submit to board

office.
- Student Data
- Maintain current and accurate student information using the PowerSchool database for

student records, attendance, reporting, and student information forms.
- Prepare material for registration and carry out student registration (school handbooks, student

forms, course selection guides).
- Collect student information (birth certificates, health cards, immunization records, address

verification).
- Receive and input registration information for new students.
- Request OSR’s from former schools for new students.
- Maintain spreadsheet for all current year students to track registra
