**Salary**: $45,512.52 - $52,338.26

The Catholic Children's Aid Society of Toronto is seeking an energetic and dependable individual to join our reception team. This is a **full-time, permanent vacancy** for a **Bilingual**

**Duties include**:

- Promptly answer incoming calls on the multiline phone system;
- Answer general inquiries and/or redirecting inquiries to the appropriate person, department or other agencies;
- Collect, process and distribute internal and external mail and faxes;
- Be knowledgeable/familiar with the service departments within the Agency;
- Request taxis or couriers when required;
- Create a welcoming atmosphere for guests, ensuring all guests have signed in and out, providing a guest pass as required, and directing guests to the appropriate meeting areas.
- Alert staff about any urgent/emergency calls and of any unusual situations in the reception area and access rooms;
- Participate in quality assurance and quality improvement projects and activities to ensure quality of own work;
- Oversee the inventory of car seats; including the recording of incoming and outgoing car seats, preparation of car seats to be cleaned by the Society’s third party service;
- Order and maintain inventory and office supplies;
- Receive merchandise and deliveries from suppliers and advising the appropriate staff person/department;
- Assist staff in reserving meeting rooms;
- Refer all media inquiries to the executive office;
- Work in a safe manner in accordance with the Society’s Health and Safety policies and procedures and all relevant legislation.
- Other duties as assigned.

**Qualifications Required**:

- Post secondary and/or combination of education and experience;
- Must be fluently bilingual in both French and English,
- Knowledge and experience working with diverse telephone system such as MicrosoftTeams, voice mail and reception skills to respond to callers and guests;
- Knowledge/awareness of basic administrative functions;
- Excellent verbal and written skills to communicate effectively with guests, especially if they conduct themselves in a challenging manner;
- Efficient computer skills such as the ability to use Microsoft Office, E-mail, Lotus Notes, CPIN, SharePoint, OneDrive;
- Knowledge of office equipment i.e. fax, photocopier, Pitney Bowes Mail Machine, alarm panel;
- Good organizational skills and time management skills;
- Be aware of tools and resources that assist the admin staff with understanding and knowing where staff are;
- Ability to handle stressful situations e.g. constantly fluctuating workload, contentious situations, strict deadlines;
- Ability to work effectively with professionals both within and outside the Society;
- Ability to use sound judgement to engage proper protocols and processes in challenging and emergency situations;
- Must be familiar with Health & Safety Guidelines and emergency procedures in order to be able to respond appropriately and to be able to function as a Fire Warden.
- Demonstrated understanding of Society's Health and Safety Policies and Procedures and relevant legislation.
