**SCOPE**
Reporting to the Manager, Cooperative Education, the incumbent supervises the administrative and operations team and oversees the daily operations and processes of the unit. They are responsible for maintaining quality processes & training, excellent customer service, and operational efficiency. The Supervisor plays a key collaborative role with the other units and teams within and external to the Institute, including Program Coordinators and the Student Learning and Professional Development team, and provides important information to management to aid decision-making. They provide strategic, administrative and project leadership to the Institute for Co-operative Education management, professional and support staff. The incumbent manages the planning, design, implementation, promotion and administration of programming and service delivery within the Institute in line with the broader goals of the Institute and ensures high quality client service and administration.

**PRIMARY RESPONSIBILITIES**
- Manage, and ensure successful completion of work amongst operations and administrative staff. Provide day-to-day guidance, support, and delegate work amongst team members.
- Manage and ensure accurate and timely delivery of all operational & administrative process; including posting internships, interview scheduling, internship offers, admission to the Institute, withdrawals, Institute course registration, student letters of support, graduation processes, grade entry, change of sequences, data entry, office coordination, new program development.
- Oversee financial and human resource administration and the management of physical facilities.
- Cultivate deep understanding of Institute procedures and policies; act as the key resource to advise and support all stakeholders (including staff, Concordia departments, students, employers) on all matters related to operations and administrative responsibilities.
- Collaborate with IITS and UCS to ensure stakeholders (Institute staff, as well as students and employers as necessary) are adequately trained on all Institute policies and procedures.
- Maintain all Institute technical systems (e.g. the Compass database, CCMS, MS 365, etc.); act as the key contact with IITS, external vendors, operational partners, and all other technical collaborators.
- Participate in decision-making process on exceptional student and employer cases & issues, supporting the administrative and operations staff as well as other members of the Institute staff.
- Lead regular process reviews to optimize, increase efficiency, improve service delivery to students & employers, and increase time for value-added activities across the Institute’s staff.
- Participate in matters regarding policy & procedures changes, funding programs, programs of study at the Institute, etc.
- Maintain positive working relationships with relevant units; including Registrar, Admissions, Enrollment, ISO, etc.
- Participate and leads various Institute projects, initiatives, and tasks in support of the unit’s operational and strategic goals.

**REQUIREMENTS**
- Bachelor’s degree in Management, Operations or in a field of study and two to four years of experience of which at least two years of relevant experience in progressive management. At least one year of experience in a supervisory role.
- Experience in managing day-to-day administrative and operational duties and influencing staff members outside of direct reporting relationships.
- Knowledge of university environment, culture, processes, academic regulations is an asset.
- Experience with internship management, co-operative education and/or work-integrated learning is an asset.
