**Project Coordinator**

**Reports to**:VP of Business Development & Operations

**Job Summary**:The project coordinator oversees the operations of our projects and is responsible for ensuring the schedule, budget and details are well organized. They communicate with various departments to keep everyone on board with any changes to the project plan. They are responsible for coordination of resources, equipment including tower cranes and fleet of vehicles, meetings, and information. They assist in organizing projects with the goal of getting them completed on time and within budget. The project coordinator must have good knowledge and experience of every aspect of the project and should ensure that the job site is going according to the company terms and policies. They support their supervisor and coworkers on multiple levels in disciplines including but not limited to communications, recruitment, informational technology, and marketing. The project coordinator must have strong analytical, management, and leadership skills.

**Details**:Monday-Friday, 7:30am-4:30pm, Full-time, 40 hours/week

**Responsibilities and Duties**:
**1.** **Projects**
- Coordinating project tasks with site crew, clients, and suppliers
- Creating and tracking project schedules
- Procuring and distributing project documents (i.e., shop drawings, site instructions)
- Completing change orders
- Tracking delays
- Tracking productivity
- Attending site meetings as required
- Preparing take-offs
- Monitoring expenditure against budgeting, reviewing charges and invoices
- Notarizing Statutory Declarations

**2.** **Equipment**
- Managing relationships with insurance providers
- Ensuring insurance compliance for sites, projects, vehicles, and crane rentals
- Managing crane inventory and schedules
- Tracking onsite equipment (i.e., harnesses)
- Updating crane logbooks
- Coordinating crane & equipment rentals
- Overseeing and organizing vehicle tracking sheet
- Requesting permit renewals
- Managing office equipment such as phones, copiers, cameras, and security

**3.** **Safety**
- Updating and maintaining employee safety training records
- Ensuring site crews receive timely and appropriate training and development
- Organizing safety training
- Communicating with employees regarding safety training requirements
- Assisting with processing of WSIB claims and files
- Amending and updating safety programs & policies
- Organizing and Overseeing toolbox talks

**4.** **Marketing, Recruitment, and Website Updates**
- Auditing and updating website content
- Aligning the website with the organizations’ brand, strategy, and standards
- Aiding in coordination of social media campaigns and other marketing efforts
- Assisting with recruitment efforts
- Managing employee enrollment forms online
- Assisting the team with other tasks as assigned and needed

**Qualifications**
- High school diploma required, college courses in construction management preferred
- Must have strong work ethics
- Must be well organized and a self-starter
- Detail oriented, professional attitude, reliable
- Proficient in Excel, Word, and Outlook
- Possess strong organizational and time management skills
- Strong problem-solving skills, documentation skills, research and resolution skills, data analysis and multi-tasking skills
- Ability to communicate effectively verbally and in writing
- Ability to interact with clients, employees, and vendors in a professional manner
- Ability to speak and write English fluently (a must)
- Ability to work independently and with a team in a fast-paced and high-volume environment with emphasis on accuracy and timeliness
- Ability to perform mathematical computations such as percentages, fractions, addition, subtraction, multiplication, and division quickly and accurately

**Physical & Psychological Working Conditions/Requirements**:

- The work is performed in an office environment which requires long periods of sitting and use of computer screens. Minimal lifting, bending, and crouching required.
- Deadline pressures, stress of multi-tasking, communicating, and interacting diplomatically with clients, supervisors, and co-workers in regard to responsibilities, job progress, issues are demanding aspects.
- Respect, honesty, and sound work ethics are important attributes.
- Accuracy, attention to detail and focus on day-to-day activities and interactions required.
- Professional demeanor at all times when dealing with clients, employees, and others.
- May need to travel between construction sites working with site managers and tradespeople.

**Job Types**: Full-time, Permanent

**Salary**: $29.00-$33.00 per hour
