Mott MacDonald’s Canadian business is growing We are looking for a proactive, organized, and resilient person to help lead and support our proposal, marketing, and business development efforts. This position reports to the Unit Marketing Lead and can be located in Vancouver or Calgary.
Broadly, you will work closely with our technical proposal managers, coordinate the bid process, and engage our graphic designer and technical writer, as well as other proposal contributors, to meet deadlines. In addition, you will have the opportunity to take on a wide range of proposal responsibilities, and you will quickly learn valuable skills that will help advance your career.
Your job duties will include, but not be limited to the following:

- Lead and support the coordination, preparation, and production of proposal and qualification packages to public and private-sector clients
- Effectively coordinate project teams of varying sizes and abilities to develop compelling, compliant proposals
- Organize and facilitate proposal kick-off and review meetings between key contributors, proposal reviewers, and project partners
- Help draft, edit, proofread, and update written / boilerplate content for proposals, project case studies, and resumes
- Manage and organize RFP and RFQ documents, the proposal file structure, and draft documents, all within a SharePoint Team Site
- Source potential bid opportunities through bid portals and share these opportunities with relevant technical teams
- Support database maintenance: corporate CRM system, ongoing bids, proposal document numbers, project case studies, staff resumes, business development activities, and marketing Team Site(s)
- Ideally, you would have a Bachelor’s degree; at least 3 to 5 years of experience in a proposal coordination, marketing, communications, or administrative role; and a highly organized and self-motivated approach to your work. You are interested in learning more about the overall Mott MacDonald business, strategy, and corporate goals, and you are able to bring these themes into the proposals you manage. You would bring key information and database management experience, as well as excellent written and verbal communication skills, to this role. You are fully proficient in MS Word and familiar with other MS Office programs, such as PowerPoint, and you are comfortable working within a SharePoint environment. Experience with the Adobe Creative Suite, specifically Adobe InDesign, is a plus, but not essential.
- A strong interest in the architecture/engineering /construction industry
- Bachelor’s degree in business, marketing, communications or similar
- 3-5 years of experience in a proposal coordination, marketing, communications, or administrative role
- Excellent editing and writing capabilities with strong verbal communication, coordination, and time management skills
- Self-motivated with an ability to work both independently and collaboratively
- Ability and interest in managing the full proposal process, as well as writing and editing the work of others
- Strong proficiency in Microsoft Office, specifically Word, PowerPoint, and Outlook
- Comfortable working within a SharePoint environment
- Familiarity with the Adobe Creative Suite (InDesign, Photoshop, Acrobat, Illustrator) or other graphic design programs
