**Position**: Project Administrative Assistant

**Project**: ETC

**Hours of work**:35 hours per week

**Wage**:$22 - $25

**Location**: PICS Head Office

**Project Summary**: PICS Employability Training Center (ETC) offers employability skills training courses that help a job seeker enter/re-enter the Canadian workforce with the required skills, preparing them for success in their career. These fee-based short-term occupational certifications (STOC) are offered both in-person and online, which makes it easier to acquire the much-needed skills in your own comfort.

**Duties and Responsibilities**:

- replenish and take inventory of office supplies;
- meet regularly with project staff to assess project needs;
- develops and maintains timely and accurate records of trainings;
- creates Invoice, certificates, and keeps a record (filing digitally too), and mail, when required;
- conducts certain trainings, if and when needed;
- prepare boardrooms, classrooms, and office space for training, meetings, and interviews;
- plan meetings and take detailed minutes;
- makes posters for the training’s and creates monthly and quarterly training calendars;
- supports recruitment and selection process, schedule interviews;
- travels to different service provider's locations, when needed; and
- perform other job-related duties as assigned.

**Qualifications & Experience**:

- completion of a diploma or degree in a related discipline, or the equivalent of education, training, experience, and certification;
- minimum 2 years of experience in office administration, preferably having experience working for not-for-profits, in employment services;
- microsoft Office Certification would be considered an asset;
- intermediate level knowledge of Microsoft Office Suite; and
- detail-oriented, highly organized, and able to meet tight deadlines.

**Additional Information**:

- Clean criminal record (vulnerable sector)
- Class 5 Driver’s license preferred
