Key Responsibilities
- The key responsibilities of this role are:
- Acts as a primary contact for Intake Specialists to assist with all incoming requests for the National DocPro team
- Ensures appropriate coordination of the Intake Specialists, ensuring a strong focus on service delivery and excellence
- Coordinates the staffing resources available to ensure adequate coverage and the most effective use of the team members
- Acts as a team player within the Intake team with overflow, urgent deadlines and back-up coverage
- Monitors the centralized inbox and updates requests with any changing priorities, and keep requestors informed on the progress of their work
- Monitors Intake Specialists overall performance to ensure competency levels are met and new skills acquired, if necessary
- Participates in onboarding, training and development of new Intake Specialists
- Works closely with the Team Leads and Manager, DocPro Centre to manage volume, assess coverage needs and determine allocation of resources for the highest-priority requests
- Remains attentive to the team’s fluctuating capacity demands in order to appropriately communicate accurate deadlines with requestors
- Collaborates with Team Leads and Manager, DocPro Centre to develop workflow processes and leverage technology to optimize the workflow management
- Provides all clients with professional and exceptional client service
- Assists with DocPro team related projects as assigned
- Keeps up-to-date on changes in practice and procedural requirements
Principales responsabilités
- Les principales responsabilités associées à ce poste sont les suivantes:
- Agir à titre de personne-ressource principale auprès des Spécialistes en traitement des demandes pour ce qui touche le travail envoyé au Centre DocPro.
- Assurer une supervision adéquate des Spécialistes de son équipe, en mettant l’accent sur l’excellence dans la prestation des services.
- Coordonner les ressources disponibles de façon à maximiser l’efficacité des membres de l’équipe et assurer une couverture adéquate en tout temps.
- Travailler de concert avec les autres membres de l’équipe responsable du traitement des demandes et leur prêter main-forte en cas de surcharge de travail, d’urgences ou d’absences de collègues.
- Surveiller la boîte de messagerie commune de l’équipe et mettre à jour l’ordre des priorités selon les besoins, en plus de tenir les demandeurs informés de l’état des choses.
- Faire le suivi du rendement général des Spécialistes en traitement des demandes afin de s’assurer qu’ils possèdent les compétences voulues et qu’ils en acquièrent de nouvelles si nécessaire.
- Participer à l’intégration, à la formation et au perfectionnement des nouveaux Spécialistes en traitement des demandes.
- Travailler en étroite collaboration avec les Responsables d’équipe et le Gestionnaire, Centre DocPro, à gérer le volume de demandes, à évaluer les besoins en matière d’effectifs et à affecter les ressources requises dans le cadre des mandats urgents.
- Prêter une attention constante à la capacité changeante de l’équipe pour fournir des échéances réalistes aux demandeurs.
- Collaborer avec les Responsables d’équipe et le Gestionnaire, Centre DocPro, afin de mettre au point des processus liés aux flux de travail et de tirer parti des technologies pour en optimiser la gestion.
- Offrir un service professionnel et exceptionnel à tous les clients.
- Fournir une aide dans le cadre des projets du Centre DocPro, au besoin.
- Se tenir au courant des changements aux procédures ou aux pratiques optimales.
Key Competencies
- Previous leadership experience, working within a law firm an asset
- Working knowledge of legal documents terms and litigation procedures, an asset
- Advanced knowledge of MS Office products
- Bilingualism (French and English), spoken and written, an asset
- Excellent organizational and time management skills to effectively prioritize and meet deadlines with mínimal supervision
- Strong interpersonal skills with the ability to work well independently and collaboratively within a team environment
- Excellent communication skills (verbal and written) with the ability to interact with individuals at all levels within the organization
- Strong leadership skills with the ability to lead by example
- Strong customer focus and experience in client service/ professional services environment
