Position Summary
Reporting to the Supervisor, Recreation & Community Development, the Recreation Clerk is responsible for scheduling, payroll time entry functions and general clerical duties. This position provides support to areas within the Recreation and Leisure Services Department, including membership refunds and renewals, program registrations, facility bookings, schedule maintenance, report preparation and clerical duties, including general correspondence and filing. This position may be required to work irregular hours including evenings and weekends.

Key Responsibilities

Promote facility usage and recreation programs across the City, demonstrating excellent knowledge of all recreation facilities, programs, memberships, and services.

Responsible for clerical duties including data entry and maintenance of payroll records, filing, preparing reports, creating and maintaining accurate records, purchasing and invoicing for supplies, and supporting facility bookings, program registrations and membership accounts.

Complete recreation facility bookings for various locations and input program details using a recreation based software system.

Provide coverage to other roles as needed including other clerks and front desk staff which includes handling cash/payments, answering a wide range of inquiries.

Adhere to appropriate corporate and departmental policies and procedures while providing excellent customer service to internal and external clients.

Provide support to, and participate in department initiatives, training and projects.

Perform other duties as assigned.
Qualifications, Competencies
One (1) year certificate in Office Administration, Business Administration or a related program.

One (1) year experience working in an office environment including experience with complex scheduling and time entry.

Recent experience using a recreation based software system such as PerfectMind for facility bookings, membership sales, reports and course registrations an asset.

Experience using an electronic payroll system (PeopleSoft preferred) and Microsoft Office software (Word, Excel and PowerPoint will be tested at the Basic level).

Ability to interpret and follow and implement policies and procedures

Ability to deal with difficult situations and handle effectively

Ability to multi-task in a fast-paced environment while contending with frequent interruptions

Excellent verbal and written communication skills

Excellent cash handling and mathematical skills

Proficient Keyboarding skills (tested at 40 wpm)

Detail orientated and works with a degree of accuracy

Knowledge of recreation facilities, usage and community groups within the Kingston area considered an asset

Knowledge of the Corporate TRIM filing system considered an asset

Must obtain and maintain a satisfactory criminal record check, including Vulnerable Sector
