Our Station Services and Standards office is seeking an Office Administrator to provide administrative support to the Stations Operations focusing mainly on supporting Stations Operations with coordination of Non-Revenue Fleet Vehicle maintenance, vacancy tracking, timesheet reviews, expense claims and other Administrative Duties. The position requires attention to detail, comfort with numbers and a sound understanding with the creation and design of spreadsheets, tracking tools and reports in addition to interacting with several internal and external stakeholders.
What will I be doing?
- Providing general administrative & coordination support as needed (including maintaining & updating various types of reference material as well as creating & editing correspondence for Station Operations).
- Gathering data to analyze & report on various topics from budget performance to operational trends in order to maintain of operations.
- Preparing the monthly corporate Purchasing Credit Card logs for Station Operations staff, tracking and reconciling all the related expenses and gathering all the receipts.
- Generating work requests and Purchasing Orders on behalf of Station Operations to coordinate Non-Revenue Vehicle maintenance activities
- Actively participating in the yearly Station Operations Central fiscal year budget preparation process.
- Communicating with the Station Operations Station Operations staff regarding inventory of supplies for Station Operations
- Maintain and track Vacancies, Project Charters, schedules, progress and other documentation for the Station Services
- Basic level data analysis and correction (e.g. counting of parking lots etc.)
- Prepare documentation and/or reports as necessary
