Ontario Health Teams (OHTs) are a new approach for delivering more connected and improved access to health and wellness care for individuals. As one of many OHTs across the province, the Hastings Prince Edward Ontario Health Team (HPE OHT) is a partnership of health and social service providers from the communities of Hastings and Prince Edward Counties and the Tyendinaga Mohawk Territory, working in the shared purpose of _**Caring for Our Communities Together, Partnering for better health and wellness within, and across, our communities**_.
Gateway Community Health Centre (Gateway CHC) is the transfer payment agency and employer of record for HPE OHT. The Administrative and Communications Coordinator is a member of the HPE OHT Backbone Team and reports to the Strategic Implementation Lead.
**SUMMARY OF RESPONSIBILITIES AND DELIVERABLES**
The Administrative and Communications Coordinator will support the overall operational, administrative and communication functions within the HPE OHT and will work collaboratively with HPE OHT staff and stakeholders to support the success of our OHT.
**KEY RESPONSIBILITIES**
**Administrative**:
- Liaises with internal and external stakeholders to smoothly operationalize HPE OHT
- Coordinates resources to optimize operational efficiencies
- Responds/coordinates responses to stakeholder comments and concerns
- Provides meeting support by way of scheduling, content drafting/collation, agenda development, minute taking, and action/decision follow-up
- Maintains and updates HPE OHT documents and informational resources, as needed
- Assists with contact management
- Provides technical support for virtual meeting
- Prepares reports, spreadsheets, letters, presentations, visualizations, and documents
- Provides scheduling support for Backbone Team members as needed
- Maintains positive and productive working relationships with team members and stakeholders
**Communications**:
- Designs and implements HPE OHT communications strategies, including but not limited to video, online, social media, print, radio, briefing notes, news releases, web, and photography
- Provides strategic communication advice and counsel to stakeholders, to support communications objectives
- Provide hands-on communications support to HPE OHT strategic initiative teams and groups, as needed
- Writes, edits, proofreads written materials, including but not limited to stories, webpages, presentations, publications, newsletters, news releases, briefing notes, and reports
- Provides general information to the public and media to keep stakeholders informed and engaged with events happening within the OHT, promoting opportunities for participation and/or submitting feedback
- Handles media calls as the primary media contact and provides advice and interview preparation to leaders as required to assist with each inquiry
- Supports the communication needs for the HPE OHT website
- Supports community engagement and co-design strategies that enable stakeholders to contribute to the evolution of our work and the design of our services
- Reviews analytics, assesses communication and community engagement programs, and reports findings with recommended improvements for future communication
- Promotes an environment of collaboration, teamwork, support, transparency, trust, respect, and inclusivity
**QUALIFICATIONS**
- Post-secondary diploma or degree in a relevant discipline(s)
- Three to five years administrative experience in community or healthcare setting
- One to three years experience in communications. Health care specific communications experience is an asset
**KNOWLEDGE, SKILLS AND ABILITIES**
- General understanding of foundational HPE OHT concepts and good understanding of the Ontario health care system
- Demonstrated excellence in interpersonal, written, and verbal communication skills including ability to demonstrate tact and diplomacy with diverse groups of stakeholders
- Demonstrated experience coordinating and implementing communications strategies for collaborative initiatives with multiple stakeholders
- Demonstrated advanced computer skills (Microsoft Office - Teams, PowerPoint, Word, Excel, Planner, Virtual Meetings - Zoom, Microsoft Teams, Adobe Products, Visio, Wix
- Exceptional organizational, time management and problem-solving skills with the ability to manage multiple priorities
- High attention to detail
- Ability to work in a fast-paced health care landscape that is constantly shifting and changing
- Proven ability to work independently and as part of a team, demonstrating initiative and collaborative skills.
**REQUIREMENTS OF THE POSITION**
- Ability to work flexible hours based on program needs; perform other duties on occasion, as required
- Access to reliable transportation within the HPE region (travel throughout Hastings Prince Edward is required)
- Satisfactory police records check and satisfactory references
