**Purpose of the Role**

The Property Leasing and Deals Administrator’s primary responsibilities will be to provide daily administrative support as it relates to MLS Transactions as well as provide administrative support to leasing team.

Directly reporting to the Director of Leasing and Business Development, this administrative role is to ensure department is providing a high level of service to tenants and owners, while keeping vacancies low. Overseeing the day-to-day activities of the leasing function, this role will have a 50/50 split of MLS Transactions and processing while processing and qualifying tenants for future suites.

**Key Job Responsibilities as Deals Administrator**:
Post units on MLS
Post multiple rental units - broker loading
Process MLS offers and reporting
Provide confirmation of payment receipts/invoices to accounting and brokers
Coordination of listings and offers with leasing representatives
Advance knowledge of the authentisign program
Experience with Showingtime Booking Management Tool an asset

**Key Job Responsibilities as Leasing Administrator**:

- Responding to queries and correspondence related to invoicing and records management for owner’s and tenants’ payments
- Rent Review for any new suites coming on notice for re-rentals as well as market reports for renewals on exempt buildings
- Prepare VIP rental market reports for Re-rentals or as need basis
- Rental Market Analysis for new suite market rents
- Weekly Vacancy and Leasing Activity Report for Leadership team, and month-end leasing activity reporting

**Qualifications**:

- 2+ years deals secretary experience
- 2+ customer-service experience in a fast-paced environment
- 2+ years of experience in the residential property management field
- Excellent verbal and written communications skills
- Superior interpersonal and customer service skills
- Strong working knowledge of Outlook and Microsoft products (MS Word, Excel)
- Demonstrated ability to work effectively in a deadline-driven environment

**Skills and Abilities**:

- Solid time management and multi-tasking skills
- Solid working knowledge of residential property administration, RTA and Ontario Standard Lease forms
- Strong computer skills: Excellent knowledge of Word, Excel, PowerPoint and Microsoft Outlook
- Can easily adapt to new property management software systems
- Sound judgment and decision-making capabilities
- Excellent communication and relationship building competencies
- Is open to change and actively looks for ways to improve processes
- Strong administrative and organizational skills
- Strong customer service orientation
- Motivated to learn more and grow within this position
- Team player, works well with others

**Job Types**: Full-time, Permanent

**Salary**: $52,000.00-$55,000.00 per year
