The Township of Adjala-Tosorontio is seeking a **Records Management Summer Student** with a tentative start date of May 6 and end date of August 23, 2024**.**

The Township of Adjala-Tosorontio is located north of the GTA, at the southwest border of Simcoe County with a population of 11,000 residents and offers rural living with proximity to urban amenities.

**Position Summary**:
Reporting to the Manager of Corporate Services/Clerk, or designate, the Records Management Student provides assistance with the implementation of the Township’s ERMS and maintenance of the Township’s records management system. This includes the scanning of historical and current documents onto an electronic database. The position will play an important role in preparing physical records for digitization and support this project by tracking progress.

**Duties & Responsibilities, but not limited to**:

- Inventories and indexes physical (paper) records currently in storage and updates records management database to reflect changes
- Assists with organization of storage space, including re-boxing physical records and labeling shelves
- Validates, tracks, and facilitates the final disposition of physical and electronical held records in accordance with Township’s retention schedule
- Provides general administrative duties including but not limited to scanning, photocopying, filing, labeling, data entry, customer service, etc.
- Assists in researching information required to update existing policies/by-laws

**Qualifications, Skills & Abilities**:

- Student who is returning in Fall 2024 to a post-secondary education on a full-time basis preferably in Records &/or Information Management, Library Sciences, Public Administration, or related field
- Related experience in an administrative environment, library or similar setting preferred
- Experience with categorizing, retrieving and refiling records as well as organizing their contents preferred
- Knowledge of document management is an asset
- Demonstrated computer proficiency in MS Office and Adobe Acrobat
- Experience working with Laserfiche content management system, an asset
- Experience with records retention schedules, specifically TOMRMS, an asset
- Ability to exercise discretion and confidentiality
- Ability to understand and carry out verbal and written instructions
- Excellent communication, interpersonal, and customer service skills
- Superior organizational, time management and problem-solving skills with excellent attention to detail
- Ability to work with mínimal supervision
- Ability to lift/carry records storage boxes weighing up to 40lbs

Pay: $20.80/hour + 4% vacation pay based on a 35-hour workweek.

This position requires that applicants be registered as a full-time student during 2023/24 academic year and have intentions to return to school full-time for 2024/25 academic year, be a minimum of 18 years of age, and legally entitled to work in Canada with a valid Social Insurance Number. Upon a conditional offer of employment, a Criminal Record Check will be required.
