Job Description Summary
This position is responsible for implementing the strategic planning, direction and development of operations, human resourcing, technology, finances, and physical resources in the Department of Philosophy. Major responsibilities include providing administrative unit leadership, implementing strategic plans, developing and forecasting departmental budgets, implementing sound fiscal procedures, serving as a resource for the Head of Unit on matters relating to university policy and practice, providing general guidance to faculty within unit on management issues, serving on various committees and maintaining the operational flow of the department. The position also plays a leadership role in the promotion and recruitment strategies for the department.
The Department has approximately 29 continuing faculty, 8-10 sessional instructors, and 55 Teaching Assistants. The department is currently housed on three floors of Buchanan E and the sixth floor of Buchanan Tower and has 3 CUPE and 4 Management and Professional staff (including the Admin position). In addition, as part of our Database of Religious History research team, we have two Research Associates. The Department hosts approximately 3 postdocs per year in addition to hosting multiple visiting faculty and visiting international research students (via the GoGlobal program). The Department currently manages a global budget of approximately $10.5 million (General Purpose Operating and Research).
Organizational Status
The Administrator reports to the Head of the Department. The position contributes directly to the policy and priorities of the department, providing advice and guidance to faculty and supervision and management of staff in all matters relating to the administrative and support function of the department. The incumbent interacts and meets regularly with faculty, staff, and student employees, in addition to other M&P administrators in the Faculty, working collegially with them to share and develop best practices. The Administrator acts as a departmental representative and liaison with administrative and academic departments and ancillary services and with the Dean’s Office.

- Working with the Head, provides implementation of strategic planning and operations management for the Department of Philosophy, developing, managing and evaluating the staff, financial, and physical resources and systems for the Department as a whole;
- Manages all University operations within the Department, ensuring that financial and administrative decisions are based upon sound business practice and accounting principles;
- Working with the Head, develops and implements appropriate departmental data security and privacy strategies;
- Manages the smooth transfer of information between all departmental programmes and academic caucuses, the University and the community.
- Budget and Financial Management_
- Manages a departmental budget of approximately $10.5 Million (GPOF and research);
- Authorizes departmental expenses and financial transactions. Monitors financial transactions ensuring compliance with university and granting agency policy, budget and accounting constraints. This includes expenses and purchases, transfers, cash receipts and cost recoveries; directs and oversees reconciliation of monthly and annual statements, payroll and benefit statements. Authorizes transfer of funds, investigates and reports on anomalies and errors. Monitors operating costs, develops, recommends and implements policy and standards and procedures regarding financial and budget issues ensuring standards are in line with UBC and Faculty of Arts financial policies; analyses and evaluates financial priorities;
